Frankel is a full-service marketing and business consulting agency and we’re seeking a seasoned marketing project manager to join our Gainesville-based client services team.

 

Day-to-day, you will manage all assigned client campaigns through the project lifecycle, from initiation to completion. You will scope projects, build timelines, create estimates, and manage budgets and work-back schedules using Kantata, Frankel’s project management system. You will facilitate consistent communication between the agency's Creative, Digital, Project Management, and Brand Management teams to ensure the on-time, on-budget, and on-quality delivery of all campaigns for your assigned clients. You will also work closely with the vendors/contractors assigned to your campaigns, managing them within scope and budget and ensuring their contributions are executed to the same standards as Frankel’s internal teams. 

 

We are looking for someone highly organized and skilled at effective problem-solving. You’ll need to draw on your experience to anticipate problems, recognize opportunities to realize efficiencies and minimize scope creep and budget waste. This role must embody and exemplify the qualities that make our Project Management team successful: customer-focused, results-oriented, and dialed-in on the details. You’ll also serve as a mentor to more junior team members.

Detailed Responsibilities

Project Lifecycle Management

  • Handles all day-to-day activities related to assigned projects and clients

  • Assists with the preparation of client proposals and estimates

  • Leads project kickoff meetings, presenting key deliverables, initial Spec Sheets, timelines, and budgets

  • Monitors project budgets and schedules daily; keeps track of the progress of clients’ projects

  • Identifies and proactively resolves any deliverables that might fall behind schedule

  • Ensures smooth handoff of deliverables from Creative Services and Digital Services

  • Reports on project success criteria, including schedule, budget, client sentiment

  • Works creatively and innovatively to problem-solve projects without a clearly defined process or with unclear deliverables

 

Project/Program Administration

  • Manages and supports multiple concurrent, complex projects and clients

  • Serves as the primary point of contact and account lead for some key client accounts

  • Responsible for the consistent successful facilitation of project(s) from estimation through launch and maintenance

  • Manages, reviews and adjusts project transactions on a weekly basis to ensure they remain on-time and on-budget

  • Schedules, facilitates, and circulates notes and action items for internal check-in meetings 

  • Gathers project assets before the start of a project 

  • Creates and maintains server files/ folders

 

Leadership and Mentorship

  • Leads team meetings in the director's absence 

  • Provides feedback, advice, and guidance to junior team members 

  • Participates actively in the evaluation, creation, and modification of team processes, templates, practices, and tools

  • Delegates tasks and assignments as needed to other team members

 

Vendor Management

  • Facilitates estimate development, negotiates with vendors to ensure the best rates, confirms final production schedules, and hands off print/production-ready files

  • Ensures all project outside costs are accurately coded and represented in Frankel systems

 

Kantata Responsibilities

  • Reviews estimates and scopes of work before submitting for final approval and input into Kantata

  • Manages project pulse reporting

  • Trains new and existing employees on Kantata use and best practices; acts as a primary point of contact amongst internal teams for Kantata-related questions

 

Experience & Skills

  • Must reside or be willing to relocate to Gainesville, FL. This is a hybrid position that requires in-office work at Frankel HQ in Gainesville, FL on Tuesday, Wednesday, and Thursday each week.
  • Advanced project management skills, including strong attention to detail and the ability to manage multiple demands simultaneously in a fast-paced environment.

  • Excellent communication, organizational, and problem-solving abilities.

  • Thorough understanding of studio/graphic arts and creative workflow processes.

  • Strong working knowledge and proven experience with digital development and production processes and techniques (web, mobile, social, etc.)

  • Flexible, with proven ability to conform to shifting priorities, demands, and timelines through analytical and problem-solving capabilities.

  • Adept at conducting research into project-related issues and products
