As a Project Resource Manager at Frankel, you’ll play a key role in optimizing our agency’s most valuable asset: our team. Your primary responsibility will be strategically allocating personnel across projects to ensure each team member is utilized effectively, maximizing productivity and reducing project bottlenecks. Working closely with the Project Management, Creative, Digital, and Brand Management teams, you’ll ensure that resources are aligned to meet project timelines and client expectations.
We’re looking for someone with strong organizational skills and a knack for proactive problem-solving, especially when recognizing and balancing workload demands across the agency. The ideal candidate has excellent communication skills, a collaborative spirit, and the ability to anticipate resource needs in a fast-paced environment.

Responsibilities:
Resource Allocation and Management

Manage and allocate agency resources for all active and upcoming projects, ensuring optimal team utilization and minimizing conflicts.

Coordinate staffing needs across projects, balancing workload to prevent burnout and meet deadlines effectively.

Collaborate with department heads to forecast and plan resource needs for future projects, adjusting as priorities shift.

Maintain an updated roster of internal and freelance talent, identifying the best-suited resources for each project.

Regularly review team capacities, taking note of potential overages or shortfalls, and adjusting project plans as needed.
Project Coordination and Scheduling

Work closely with Project Managers to define and track project timelines, ensuring resources are aligned with deadlines.

Act as the point person for project staffing updates, communicating any adjustments or potential bottlenecks to the relevant stakeholders.

Proactively identify potential resource gaps or overages and communicate solutions to Project Managers and department leads.

Maintain the agency’s resource planning system, updating project and resource timelines, availability, and any adjustments to staffing needs.
Team Collaboration and Support

Facilitate effective communication across teams to foster collaboration and awareness of shared resource priorities.

Lead weekly resource check-ins to review staffing needs, resource availability, and address any potential issues.

Support talent development by coordinating training sessions, onboarding new team members, and keeping teams informed about best practices.

Act as a resource advocate, ensuring that team members have what they need to complete projects successfully while maintaining a healthy work-life balance.
Performance Analysis and Reporting

Track resource allocation metrics to identify trends, bottlenecks, and areas for improvement.

Measure and report on resource utilization and efficiency, providing recommendations to improve productivity and prevent resource-related delays.

Ensure that all project allocations are accurately reflected in the agency’s resource management and billing systems.

Conduct post-project analysis to assess resource allocation effectiveness and apply insights to future planning.
Requirements:

Bachelor’s degree in Business, Human Resources, Project Management, or a related field.

2 years prior experience in a resource or project management role, preferably within an agency environment.

Strong organizational and time-management skills, with a high attention to detail.

Excellent communication abilities and a collaborative approach to problem-solving.

Familiarity with project and resource management tools (experience with Kantata or similar systems is a plus).

Ability to work in a fast-paced environment and adapt to changing priorities.

Located in Gainesville, FL, or willing to relocate to the area and work in a hybrid work environment.
