About the Job

Nexant is seeking a Project Administrator who will be able to provide analytical and administrative support for a portfolio of assigned projects (and their Project Managers) to ensure back office financial and project operations are executed. Ensure that Project Managers retain understanding and responsibility for the execution and management of their projects.


Duties and Responsibilities

  • Monitor status of executed contracts for your assigned offices and notify sales when agreement is fully executed / amended
  • Create and route new project setup request, modifications to projects and staff changes to projects based on assigned projects
  • Read contracts and modifications and notify appropriate Nexant staff on relevant data security, identification, SSAE16, SAS70 and records requirements
  • Coordinate with business management and other operations administrative support on setting up file structures that comply with records and data security requirements
  • Track Project costs and monitor performance against budget limitations
  • Prefunded incentive tracking. If projects require Nexant to pre-fund incentives; this position will work with F&A to provide monthly reporting of cash flows (if needed)
  • Subcontractor PO setup; monitoring and modification management as required. Also responsible for subcontractor invoice coding and submission to A/P; entry of subcontractor employee labor hours into the Oracle system; tracking and accrual reporting. Ensure that all subs on assigned contracts submit timely and complete invoices and that they’re coded and submitted to Accounts Payable in a timely fashion; in coordination with the project manager, create and send accrual reports to finance and accounting (F&A) each month for close
  • Reconcile subcontractor accruals quarterly
  • Review invoicing requirements with Project Accounting during project setup; provide initial review and approval of invoices and submit corrections as appropriate to F&A. Final review and approval of invoices by Project Managers is required
  • Review backlog monthly and work with Project Management to identify any changes needed in the system; Notify project accounting of changes (e.g. .end date changes or notification of project close out/unused backlog removal)
  • Other duties as assigned.


Qualifications

  • Bachelor’s Degree or equivalent work-related; finance, administrative or contract management experience
  • Demonstrated strong proficiency with Microsoft Office programs including Word, Excel and Outlook
  • Other software experience desirable (Salesforce.com, CRM software, Oracle BI, etc.)
  • Project Accounting / Project Controls / Contract Administrative Financial Management experience
  • Excellent oral and written communication skills
  • Knowledge of grammatical rules, spelling, punctuation, and required formats
  • Knowledge /understanding of how project finances work (invoicing, revenue, contract procedures, etc.)
  • Excellent analytical, time management and interpersonal skills
  • The ability to communicate with all levels of internal staff, as well as outside vendors, consultants and clients
  • Superior organizational skills, the ability to maintain confidentiality on issues as required, to prioritize and deal with a multitude of varied objectives and duties, as well as to effectively interpret and communicate corporate policies.
