We are seeking a highly proactive Office Manager to support the operations of a woman owned software development in San Ramon, CA. This person will take full responsibility for creating a polished, efficient, and welcoming workplace environment.
Duties include Supporting the CEO and COO. The ideal candidate will take great pride in helping prepare for trade shows, assist across departments, support employee initiatives, and enjoy being the go-to resource for all operational needs. Looking to hire immediately!
Office Duties:
- Own all aspects of office operations, ensuring the space is organized, fully stocked, and always running smoothly.
- Greet and assist guests, vendors, and help foster a positive, professional environment.
- Manage office supplies, equipment, and vendor relationships with a sense of pride and attention to detail.
- Facilitate catering needs, and support for onsite meetings and internal events.
- Plan, coordinate, and execute company events, offsites, and team-building activities, Trade show
- Maintain office systems, processes, and policies to improve efficiency and overall team experience.
- Take initiative to identify improvements, troubleshoot issues, and elevate the workspace environment without needing direction.
Travel:
- Make Airline, Hotel and Car reservations
Unanet Support (Project Management Tool):
- Troubleshooting and following up on reported Unanet data and access issues.
- Portfolio data management e.g., Setup new user, client, contract, and project profiles. Maintain Unanet master data such as Labor Categories (LCAT), Holidays, Expense types, Per diem rates, etc.
- Perform data audits, collect and enter missing data. Develop and maintain Standard Operating Procedures (SOP) for maintaining Unanet data.
- Perform new user training.
- Set up new and maintain user, organization, contract, and project profiles. Maintain Unanet master data such as Labor Categories (LCAT), Holidays, Expense types, Per diem rates, Approval groups, etc.
- Monitor time management process.
Misc:
- Send mail and packages as required
- Help with Check Deposits
- Purchase office supplies
- Ad hoc duties as needed
Qualifications
- Proven experience as an Office Manager, preferably in software such as Microsoft Office Suite, Unanet is a plus.
- Strong communication and interpersonal skills.
- Demonstrated ability to take initiative, anticipate needs, and independently solve problems.
- Comfortable navigating a dynamic, rapidly evolving environment.
- High level of ownership over workplace operations and overall office experience.
- Must be able to lift, push, pull up to 50lbs
Schedule: Monday-Friday, onsite 5 days/week.
Location: San Ramon, CA.
