Job Summary:

The Donor Relations Coordinator provides comprehensive administrative and operational support to the Chief Development Officer, managing donor meetings, travel arrangements, and event coordination. This role also involves drafting donor communications, supporting fundraising operations, and fostering team culture within the development department.

 

In the next 12 months, this role will become an integral partner and teammate for the Chief Development Officer, Chief Executive Officer, and Board Leadership in executing a high-touch,

high-impact major gifts fundraising strategy.

 

Essential responsibilities include:

Administrative & Operational Support for Chief Development Officer: (40%)

  • Directly manage donor meeting scheduling and travel arrangements
  • Prepare agendas, meeting briefings, and other materials for internal and donor meetings
  • Coordinate donor visits, events, and tours, and collaborate across various internal teams to ensure successful and engaging visits for donors

Major Gifts / Fundraising Operations: (40%)

  • Draft written donor follow-up communications, including emails and draft proposals for the Chief Development Officer and Chief Executive Officer
  • Ensure timely communication from Chief Development Officer and Chief Executive Officer through regular check-ins and follow-ups
  • Track donor outreach and activity for all C-Suite Member portfolios
  • Support the development team in scheduling and organizing regular major donor portfolio reviews and maintenance of the campaign pipeline
  • Regularly update donor database and build and maintain new reports, lists, and dashboards that will be internal (for tracking and accountability) and external in coordination with the Director of IT
  • Support with the planning, organization, and execution of campaign activity (including follow-up for direct mail campaign pieces, first-time call-ins to Federation, etc.), and donor events (i.e., VIP dinners, cocktail parties, and other development department events dinners)

 

Team Operations & Team Culture Support: (20%)

  • Manage scheduling, agendas, note-taking, and follow-ups for regular development department meetings and related Board Committees
  • Plan culture-building and recognition activities for the Advancement team (i.e., coordinating celebrations for birthdays, anniversaries, and wins)
  • Coordinate a centralized calendar for the development team and partner with all departments to ensure timely deliverables and collaboration on projects
  • Manage expense reports for Chief Development Officer
  • Represent the organization at Federation events and in the community
  • Other duties as assigned

Key Competencies:

  • Bachelor’s degree in communications or a related field is a plus
  • 1+ years of experience in nonprofits or fundraising (internships and college experience included)
  • Proficient with Microsoft Suite and program management software
  • Ability to maintain a flexible work schedule, including some evenings and weekends
  • Excellent organizational and problem-solving skills and attention to detail
  • Strong written, oral, and interpersonal communication skills
  • Ability to interact professionally with donors, prospects, staff, or directors of the board
  • Ability to work independently and collaboratively in a fast-paced, goal-oriented team environment
