Position Overview:
We are seeking a highly organized and proactive Virtual Sales Administrative Specialist to support our Sales team remotely. This role is essential in ensuring seamless sales operations, managing administrative tasks, and maintaining effective communication with both internal teams and partners. Key Responsibilities:

  • Sales Support:

    • Assist the Sales team with administrative tasks such as preparing proposals, quotes, and contracts.

    • Collaborate with various departments to obtain the necessary information and documentation for sales transactions.

    • Maintain accurate records of sales activities, contracts, and customer interactions using CRM software (HubSpot)

    • Identify and make contact with opportunities for expansion and upselling within our existing customer base.

    • Identify and secure expansion and upsell opportunities within existing partnerships to drive additional revenue growth.

    • Work with Craftable billing dept and sales rep to communicate with MPOC for client billing/payments to set up subscriptions and remind clients to ACH verify bank accounts.

  • Sales Processing:

    • Help prepare and ensure all sales proposals are accurate and meticulously entered into Deal Hub.

    • Work closely with cross-functional teams to streamline billing and onboarding processes for partner upsells. Expansions, billing adjustments, and downgrades.

    • Address inquiries and resolve issues from partners and internal stakeholders promptly.

  • Set up and Reporting:

    • Compile detailed sales reports, forecasts, and related documentation to support performance and informed decision-making.

    • Help generate and manage sales-related documents, including proposals, HubSpot data, store activations and more ensuring they all comply with company policies.

Qualifications:

  • Proven experience in sales administration, sales support, or customer service roles; experience within a SaaS or technology-driven environment is preferred.

  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.

  • Strong communication and interpersonal skills, coupled with a partner-centric approach.

  • Proficiency in CRM software (HubSpot), Google Suite (Gmail, Google Drive, Docs, Sheets, Slides), and Slack.

  • A keen eye for detail with a commitment to accuracy and quality.

  • Ability to work both independently and collaboratively in a fast-paced, evolving industry.
