The Opportunity

InCharge Energy is seeking a highly organized Office Administrator to help with the organization and running of the daily administrative and office operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to keep the office running smoothly.

What You’ll Do

Office Administrator Duties:

  • Ensure peak office operations and implement preventive measures for potential issues
  • Oversee day-to-day maintenance and organization of office common areas ensuring a clean, professional space at all times
  • Oversee in-office visitors and client interactions/meetings ensuring a smooth experience
  • Supervise meeting arrangements and conference reservations, including ordering refreshments/food, setting up audio/video and conference room setup/cleanup
  • Purchase and maintain an organized inventory of all supplies and assets; manage and record IT equipment (computers, laptops, office phones, hotspots, etc.)
  • Refresh office supplies daily, ensuring inventory levels are stocked appropriately.
  • Assist with space/infrastructure planning (i.e., moves, additions, changes to workstations) and provide answers, resources, and solutions when requested.
  • Coordinate and execute office activities to boost employee moral including organizing periodic breakfasts, luncheons, after-hour events, and team-building activities
  • Maintain office calendar with events, in-office meetings, and activities
  • Maintain and track office keys and communicate regarding office security and updates
  • Perform clerical and office duties and run errands to ensure a smooth office operation
  • Coordinate and book travel and accommodation for employees, as needed
  • Respond to requests and questions about office operations via phone and email
  • Intake and distribute all incoming mail and coordinate outgoing mail as needed
  • Implement and update office policies and procedures, measure outcomes against standards, and improve operational flow

HR Administrator Duties:

  • Support the HR team with onboarding new local employees including desk and equipment set up
  • Provide all new hires with a tour of our office and introduction to office policies
  • Support human resources department with the recruitment process including coordination of in-office interviews
  • Assist with HR new hire orientation assistance, including coordination, communication, and forms processing
  • Post and update required compliance notices and posters (at the direction of Office Manager)
  • Assist with various staff training, such as Harassment Prevention and Safety


Your Experience and Capabilities

  • Bachelor’s degree, preferred, in Business Administration or another related field
  • 2-3+ years of administrative experience in a professional office environment
  • Ability to maintain strict confidentiality of client, company, and personnel information
  • Strong proficiency using Microsoft Office Suite, including Outlook, Word, and PowerPoint
  • A willingness to run errands outside of the office with a personal vehicle and car insurance
  • Excellent verbal and written communication skills with the ability to present and explain complex information clearly, to individuals at all levels of the organization
  • Critical and strategic thinking skills
  • Strong, self-motivated team player
  • Deadline-oriented with an ability to prioritize tasks
  • Assertive, able to cope with pressure, and a team player
  • Comfortable working in a fast-moving dynamic environment
