We are looking for a motivated and enthusiastic administrative professional to join our team. In this role, you will play a critical role in ensuring the smooth operation of the organization through supporting two high-level executives, managing facilities, and providing administrative support to the HR department. Additionally, you will have the opportunity to work on projects that contribute to the growth and success of the company. The ideal candidate for this role is a self-starter, has excellent organizational skills, and is a strong collaborator.
Responsibilities
- Provide executive support to two Managing Partners, including calendar management, scheduling meetings, travel coordination, and expense reports
- Serve as first point of contact for all visitors
- Plan and execute in-house and off-site activities: e.g., team meetings and dinners, holiday parties, and other celebrations and conferences
- Manage incoming and outgoing correspondence, including emails, faxes, mail and packages
- Liaise with facility management vendors, including cleaning, catering, and security services to ensure smooth operations
- Order, maintain, and restock office and pantry supplies as needed
- Maintain order and manager calendars of conference rooms
- Manage swag inventory
- Partner with TriNet and the People Team to maintain Hivemind's HRIS system in activities including employee record management, addressing multi-state and local notices, & supporting employees through platform inquiries
- Assist with recruitment and onboarding of new hires
- Coordinate with IT vendor to troubleshoot technical issues and new hire equipment setup
- Ad hoc administrative projects
Requirements
- 5+ years' experience as an Executive Assistant and/or Office Manager
- Exhibit a high degree of confidentiality and integrity
- Excellent time management skills and ability to multi-task and prioritize work
- Expert in MS Office (MS Excel and MS Outlook Calendar, in particular)
- Keen attention to detail
- You have a general understanding of HR practices and procedures
- Excellent written and verbal communication
Preferred:
- BA or BS Degree
- Previous experience working with a PEO or HRIS system

Compensation: The expected base salary for this New York based position ranges from $60k - $90k. The actual base salary will be determined on an individual basis taking into account a number of factors including, but not limited to, experience, education, relevant certifications, skills, and geographic location.
