Job Title: Patent and Trademark Administrative Assistant/IDS Specialist
Neugeboren O’Dowd is a full service intellectual property law firm with office locations in the Denver-Boulder, Colorado corridor. We are looking for a patent and trademark assistant and IDS Specialist to support our growing team and practice. This position offers the opportunity for both remote and in-person work (downtown Louisville, Colorado) at your discretion. The initial position is for approximately 20/hours per week but has the opportunity for advancement to a full time position.
Reports to: Office Manager and Senior Paralegal; Occasional Interaction with Attorneys
Salary: Commensurate with experience ($20-$30/hr)

Position Summary:
The Patent and Trademark Administrative Assistant provides support to all members of the patent group, including paralegals, attorneys, patent agents and our office manager by completing a variety of administrative tasks relating to our patent and trademark practice and back office functions.
This is a job that has the possibility for advancement to a paralegal position over time. This is a part time (20 hours/week) job that has the possibility of becoming a full time role over time and depending on work needs. In the past this role has presented the opportunity for not just hours advancement but promotion and functional role advancement as well.
Job can be performed 100% remotely if desired and on a flexible work schedule.
Job Requirements:
- Experience with preparing Information Disclosure Statements (“IDS”). Familiar with Clarivate a plus.
- Review issued patents and prepare Certificates of Correction, as directed.
- Maintain reference citations, including updating spreadsheets and/or docketing database.
- Assist with preparing reporting communications for the attorney to the client.
- Prepare formal documents, obtain appropriate signature and follow-up as needed.
- Upload documents to the client’s database in a timely manner.
- Assist with revising routine correspondence and documents.
- Provide support for our back office financial organizational functions relating to our domestic and international clients and foreign associates. Includes billing and accounts receivable organization and reporting.
- Maintain skills necessary to function effectively including the basic functions of various technology tools, software and online software services.
- Assist with creating new client matter accounts (conflict checks, intakes, retainer letter and file opening/closing).
- Flexibility to work in a changing environment and incorporate change into a daily work environment.
- Ability to work remotely and ensure that tasks are completed timely and efficiently; maintain regular communication with staff, attorneys and supervisor while working remotely. Ability to follow firm policies and procedures while working remotely.
- Any other appropriate duties as assigned.
Preferred but not required:
- Prepare responses and/or amendments to Office Actions.
- Prepare formal documents, obtain appropriate signature and follow-up as needed.
- Upload documents to the client’s database in a timely manner.
- Ability to prepare new patent applications for filing, including provisional, non-provisional, Continuations, §371 National Stage Applications, Requests for Continued examinations.
Skills, Knowledge and Abilities:
- Provide good client service by maintaining a positive and professional attitude as well as positive and cooperative relationship with legal staff, peers and administrators, as well as when interacting by phone or in person with the firm's clients and external contacts.
- Some patent prosecution experience preferred.
- At least two years of administrative experience (law firm experience a plus).
- Experience and familiarity with the Patent Application Information retrieval System (PAIR), Electronic Filing System (EFS), and Electronic Patent Assignment System (EPAS).
- Advanced knowledge of Microsoft Word, Outlook, MS Teams, Adobe and Excel. Experience with PowerPoint, Visio and docketing software a plus but not required.
- Efficiently produce work product with a high level of attention to detail. Review and proofread documents for grammar, spelling, readability, etc.
- Excellent organizational skills to handle the work of several paralegals.
- Ability to work effectively under pressure to meet tight deadlines.
- Ability to work both independently and as part of a team.
- Demonstrate willingness to undertake additional responsibilities and assist others when requested.
- Take initiative to learn new skills that will contribute to enhance performance of role.
- Embrace change and adapt well in new environments.
