The role of the People/Office Coordinator is to elevate the experience our employees and guest experience. How? By supporting the People Team and Company with employee Onboarding, Off-boarding, Employee Engagement activities, as well as ensuring our Atlanta office is always stacked with supplies and essential needs for our team. This is a critical role as it is front facing to internal and external customers. In addition, you will get to build your skills by innovating and maintaining new processes, organizational standards, and support for the entire Company.


What You’ll Do
People (HR) duties:

Onboarding:

  • Coordinate and over time lead all employee onboarding activities

  • Ensure proper desk space and tech equipment are allocated and ordered for new hires

  • Welcome letter is drafted for each new hire

  • Welcome gift/swag is distributed to new hire before they start

  • Conduct Orientation sessions and follow up on any questions

  • Draft and conduct onboarding surveys to get feedback on how we can evolve and support new hires

Employee Engagement

  • In coordination with the People Team, create an Employee Engagement strategy to include at least quarterly activities and events for the Company

  • Be the Point of Contact in researching what other companies around Employee Engagement (especially for remote or hybrid workers) bringing back ideas to be implemented

 

Off-boarding/Other

  • Coordinate with HR on all off-boarding activities, ensuring all steps are completed timely

  • Ensure office security access is deleted 

  • Assist with reclaiming tech equipment from employee

  • Assist the People Team communications & newsletter

 

 

Office/Facilities Duties:

  • Organize, order, and maintain office supplies and kitchen snacks daily

  • Responsible for incoming mail

  • Communicate with IT vendor IT requests 

  • Manage Envoy Platform

  • Assist with ADT/Ackerman security projects

  • Organizes office events – orders food, sets up tables/chairs, rents space when needed

  • Keep office clean and organized  

  • Manage relationships with 3rd party vendors regarding weekly & monthly office cleaning services & invoicing

  • Manage security services – with our onsite guards   

  • Greet guests upon arrival

  • Work collaboratively with People Team manager to create an excellent workspace and experience for all employees 

  • Manage any internal elevator maintenance request along with other office repairs

  • Main contact with Landlord for maintaining Open Path access for all employees 

  • Ensure all closets and storage areas are organized and well maintained

  • Manage office delivery monthly water delivery and Iron Mountain services

  • Manage misc. office projects as needed


Who You Are

  • Associates degree

  • 2+ Years working in office admin. HR or Hospitality Management preferred

  • Able to adjust, create, and implement in a quickly expanding company

  • Ability to take ideas with little information and run with it

  • Willing to go above and beyond the job description
