Job Summary

 

Under general administrative direction, the Director of Facilities & Grounds plans (DFG), organizes, directs, supervises, and evaluates the maintenance operations and programs of Carondelet High School.  The Director is responsible for maintaining the physical school facilities in a condition of operational excellence. This position requires excellent problem-solving, organization, and supervisory skills. In addition, the DFG must have sufficient construction/building trade knowledge to make the proper decisions in the selection of work methods.


The DFG also serves as the school’s project manager, overseeing the bidding, execution, and oversight of both repairs and school building projects. In addition, the DFG will serve as the Logistics and Events Manager responsible for scheduling, coordinating, and managing school events as they pertain to facility requests. In conjunction with the Principal and Dean of Students, the DFG will also be responsible for safety and security on campus.


Essential Responsibilities  


  • Responsible for managing all aspects related to maintaining the school facilities

  • Responsible for providing a clean environment

  • Maintains close and cordial working relationships with all employees, vendors, contractors, and project managers

  • Prepares, administers, and controls the facilities and grounds budget

  • Works with the CFO and the school’s Buildings & Grounds Committee to develop and maintain a long-range facility, equipment obsolescence, and replacement program


Technical/Management/Professional Responsibilities


Managing Facilities Department Personnel

  • Supervises the custodial and maintenance team

  • Responsible for scheduling, job assignments, protocol and systems updates, training, and performance evaluations


Maintaining Building/Campus Facilities

  • Researches and plans operational policies and procedures designed to comply with all state, county, and city laws, ordinances and regulations, and to ensure the physical health, well-being, and safety of all students and staff in the school buildings and related physical facilities

  • Analyzes maintenance needs necessary to establish standards for an effective preventive maintenance and ground maintenance program.  Plans and administers preventive maintenance programs for all school-owned mechanical and electrical equipment, including ground equipment, heating, cooling, ventilating, and plumbing equipment

  • Prepares estimates for future operational costs, such as personnel, materials, and equipment

  • Provide emergency repair service

  • Receives work order requests, authorizes work to be completed; distributes work to appropriate staff for completion in a timely manner

  • Evaluates the work performance of Carondelet High School Facilities and Grounds employees and all outside contractors

  • Purchases all needed equipment and supplies as budgeted


Project Management

  • Supervises all capital projects in conjunction with the CFO. This includes soliciting and receiving quotes and making recommendations for major work to be done by outside contractors

  • Maintains close and cordial working relationships with all vendors, contractors, and project managers

  • Coordinates moves and relocations with IT, vendors, and other related parties as required


Logistics and Events Management

  • Coordinates with various departments for the use of facilities for all school events including after-school and weekend events

  • Provides support, planning and personnel as needed to support school activities and programs, as well as community events


Security and Safety Management

  • Responsible for all security related issues including, building alarms, security personnel and protocols necessary to provide adequate security during and after school hours

  • Manages and coordinate school safety and emergency response plans in coordination with the Director of Student Affairs and Dean of Students

  • Serves as Co-Chair on the Safety Committee and Emergency Preparedness Team

  • Manages the fire, safety, and security systems of the property equipment

  • Ensures compliance with applicable building and safety codes, OSHA requirements, hazardous waste disposal and relevant federal, state and local laws and regulations

  • Works closely with the Human Resources director to coordinate and administer in a timely manner required employee trainings related to workplace health and safety, as required by Cal-OSHA and other regulatory or governing agencies

  • Responsible for security and safety monitors


Qualification Requirements

  • A minimum of 5 years of experience in positions of Superintendent, Director of Facilities, Facilities Supervisor/Manager, preferably in secondary education

  • A minimum of 5 years experience in project management

  • Proven knowledge and expertise in maintenance, compliance, computer (MS office), equipment, estimation, HVAC, plumbing, vendor-management, safety, and budgets

  • Experience with facility management and project management software

  • Working knowledge of the Uniform Plumbing Code (UPC), National Electric Code (NEC), OSHA codes, and SDSs

  • Able to read/interpret blueprints


Physical Requirements

  • Visual ability to read handwritten or typed documents. (SDS, operating instructions, timecards, etc.)

  • Able to conduct a verbal conversations

  • Able to hear normal range verbal conversation (approximately 60 decibels)

  • Able to sit, stand, stoop, kneel, bend, walk, and climb slopes, stairs, steps, and ladders

  • Able to push and/or pull a variety of tools and equipment weighing up to 50 pounds

  • Able to lift and carry up to 50 pounds frequently

  • Able to sustain strenuous manual labor for 8 hours

  • Able to work at various elevated heights in a safe and effective manner

  • Able to work in restricted spaces in a safe and effective manner

  • Able to work with chemical agents in a safe and effective manner without allergic reaction

  • Able to demonstrate manual dexterity necessary to perform fine maintenance procedures and operate both manual and power hand tools in a safe and effective manner

  • Able to operate a variety of powered and manual equipment commonly found in janitorial and custodial services in a safe and effective manner

  • Visually able to use the computer for extended periods of time
