Job Summary:

 

The Associate Director of College & Career Counseling is a member of the College and Career program, which includes four Associate Directors and a part time assistant.  This departments aligns with the school’s mission, philosophy, and core values. The Associate Director of College & Career Counseling is an innovative thinker who will be part of a collaborative, innovative, dynamic and effective college counseling program with an emphasis on creating leadership and growth opportunities for all Carondelet students. An Associate Director proactively initiates projects, leads programs, strategizes, and implements changes that lead to growth in order to provide the most effective counseling possible for Carondelet families. The Associate Director is an excellent verbal and written communicator who can effectively manage college, student, and parent relations and who demonstrates a deep passion for college admissions and the growth and development of Carondelet students in all aspects of their educational lives.  

The Carondelet College and Career Counseling Department offers a four-year college preparation and enrichment program for Carondelet students with the goal of Increasing access to top-tier colleges and universities and ensuring that all students' goals and ambitions are met, understanding that each individual student will have their own individual needs. An Associate Director serves as an academic advisor to 9th through 12th  grade students, providing one-on-one and small group advising, assisting students with goal setting, and in developing short- and long-term academic plans,  while also monitoring academic progress and working with students and families to navigate educational resources and opportunities.

 

Essential Responsibilities

  • Fosters a community spirit consistent with the Carondelet Mission and Core Values among counselors, faculty, administrators, students, and parents, assuring respect for the uniqueness of the individual student and for the development of the whole person. 

  • Creates and executes College and Career communications to convey the mission, vision and values of the department to students, faculty, staff, parents, and community stakeholders. 

  • Maintains positive relationships and communication with students, parents, faculty and staff to ensure an excellent educational and co-curricular experience.

  • Develops a thorough knowledge and understanding of the mission, vision, and values of Carondelet High school and embodies these mission values in interactions with students, parents/guardians, and colleagues.

  • Understands the uniqueness of each student, strives to awaken minds, and guides students in faith, hope, and growth in the spirit of the Sisters of Saint Joseph.

Administrative/Logistics Responsibilities:

  • Serves as an academic advisor and guide for a caseload of 9th to 12th grade students throughout high school, including:

    •  One-on-one and small group advising

    • Assisting students' goal setting and developing short- and long-term academic plans

    • Monitoring academic progress, and working with students and their families to navigate educational resources and opportunities. 

    • Providing recommendations for summer enrichment opportunities for students.

    • Working with Department Chairs during the course advisement process

  • Coordinates and supervises all activities that relate to college admissions for classes that number approximately 200 students per grade level. This includes:

    • Grade level in-class college and career focused programming

    • Advising and guiding student caseload through the college application and selection process.

    • Road to College programming

    • Collaborating with students and families to strategize about and develop a college application list.

    • Offers weeklong college Kick-Start Parts 1 and 2

    • Virtual essay review with college reps and Workshop Wednesdays to assist students with writing of essays

    • Junior jumpstart.

    • DVC and CSU workshops

    • Schoology college hub information

    • Creates and offers career-focused workshops for all grade levels.

    • Delivers evening informational presentations to parent and student groups on aspects of college admissions, including Financial Aid Night.

    • Organizes and offers evening college fairs for families.

    • Identifies first gen students and assists them with opportunities for college admissions

    • Nominates students for college-related honors, awards, scholarships, and special programs.

  • Responsible for a caseload of students in grades 9, 10, 11, and 12 by alphabet.

  • Writes letters of recommendation on behalf of students within caseload for college admission as well as for scholarships, internships, summer programs, and other opportunities.

  • Conducts individual student/parent meetings during the summer prior to 12th grade.

  • Helps coordinate the scheduling and hosting of college admission representatives during the school day for students in grades 11 and 12 to enhance student opportunities to attend college of choice.

  • Advocates for Carondelet applicants with admissions professionals and networks with college admissions deans in order to maintain current information on colleges, scholarships, financial aid, etc.

  • Is aware of issues and trends in college admissions and testing; keeps up-to-date about specific colleges and maintains a collegial relationship with those institutions to which our students aspire to attend.

  • Maintains memberships in professional organizations, including WACAC and NACAC.

  • Works cooperatively with other high schools’ college counseling offices on joint programs.

  • Possesses knowledge of and experience with SCOIR software program and provides training and support to students, parents and teachers in its use.

  • Completes and submits secondary school documents through SCOIR.

  • Attends Student Intervention Meetings as needed to discuss and monitor student academic progress and collaborates with the student life team in identifying “at-risk” students.

  • Consults with teachers, counselors, and parents to meet the college planning needs of students.

  • Provides assistance to faculty regarding web-based resources, letters of recommendation, and college and scholarship forms.

  • On a rotating basis attends Department Chair meetings and Academic Council meetings to provide information and support to foster innovation and an academic program that helps students attain the target college of choice.

  • Meets with the Principal, as a group, at least bi-monthly to disseminate information, plan for events and evaluate programs and review goal docs on a consistent basis.

  • Proactively evaluates the College and Career program effectiveness, assesses outcomes, and develops improved programming as needed to achieve goals.

  • Provides data and information for graduation programs, school profile, and year end reports.

  • Disseminates information about standardized tests (ACT, SAT, PSAT).

  • Provides input for the master calendar of yearly events.

  • Provides the communications department with pertinent information on student achievement for the school website, eNews, and social media sites.

  • Position requires frequent attendance at off-hours meetings, conferences, and events, as well as occasional overnight travel.

  • Encourages a collaborative approach to the delivery of college support services and the sharing of knowledge and strategies, thereby facilitating a more efficient use of resources and increasing the number of students served effectively.

  • Supports innovation and development by sharing internal evaluations of the program’s effectiveness— without hesitating to indicate where there is room for improvement.

  • Expands on alumnae, parent and middle school outreach by developing events and/ or presentations for various constituencies to develop future applicants. 

  • Effectively builds and maintains relationships with all constituencies including colleges, students, parents, faculty/staff, alumnae, and community stakeholders.  

  • Leadership of the High School College Counseling Team (consisting of three college counselors and one assistant counselor). This includes all aspects of staff management including recommendations for hiring and evaluation.

  • Coordinates with the Department Chairs to provide academic advising services to students and their families.

  • Handles a specific caseload of counselees by alphabet through the college admission cycle.

  • Prepares and supervises the budget for high school college counseling and academic advising services.

  • Promotes the School's relationships with the several hundred colleges and universities in the US, the UK, and Canada where students might apply, including supervision of the scheduling and hosting over 100 annual admission representatives to the School from a vast array of colleges. 

  • Supervises the preparation of reports and statistics that relate to the activities of the college counseling efforts.

  • Develops presentations (for school marketing purposes) to potential applicant pools and to existing parent groups including grade level parent presentations and to Parent Association presentations. 

  • Develops and supervises communications both within the CHS community (by newsletter, presentations, website, etc.) and to the wider community audience to educate others about the CHS College Counseling program.

  • Evaluates and makes recommendations regarding the standardized testing of the High School with the help of the High School Testing Coordinator

  • Responsible for the submission of courses to NCAA for review and approval.

  • Responsible for oversight that all transcripts are uploaded to NCAA on a timely basis.

  • Administers all aspects of the college search and admission process with students.

  • Consults with teachers, counselors, and parents to meet the college planning needs of students.

  • Maintains information on colleges, scholarships, financial aid FAFSA and Profile.

  • Creates informational presentations to parent and student groups on all aspects of college admissions.

  • Proactively learns of issues and trends in college admissions and testing; keep up-to- date about specific colleges, and maintain a collegial relationship with those institutions to which our students aspire to apply.

  • Maintains membership in professional organizations, including NACAC.

  • Advises students regarding standardized tests (ACT, PSAT, SAT, and SAT ll subject tests) and provides resources for test prep opportunities.

  • Works collaboratively to evaluate program effectiveness, assess outcomes, and develop improved programming to achieve goals.

  • Provides assistance to faculty regarding web-based resources, letters of recommendation, and college and scholarship forms.

  • Demonstrates a commitment to professional development.

  • Demonstrates proficiency with technology platforms essential to creating clear communications with all constituencies.
