The IT Procurement Specialist supports both internal operations and client-facing solution delivery by managing sourcing, purchasing, and proposal development for technology assets and services. Based onsite in the Indiana office, the role partners closely with Client Account Managers and Engineers to develop accurate solution proposals, cost estimates, and bills of materials (BOMs). The position ensures procurement and quoting processes align with financial controls, vendor standards, and service delivery objectives.

Responsibilities
- Develop and manage client-facing IT proposals and solution BOMs in coordination with Account Managers and Engineers.
- Source, price, and procure IT hardware, software, licensing, and services according to approved standards and client requirements.
- Obtain and compare vendor quotes to ensure competitive pricing and margin consistency.
- Coordinate purchase order creation, approvals, and fulfillment with Finance and Operations.
- Maintain asset and procurement records in the ITSM or asset management system.
- Track renewals for client and internal software subscriptions, maintenance agreements, and warranties.
- Support vendor onboarding, contract management, and compliance reviews.
- Collaborate with Engineering to validate compatibility, configuration standards, and lifecycle planning.
- Ensure proposals and procurement activities comply with IT security, compliance, and financial governance policies.
- Generate spend, margin, and procurement performance reports for leadership.
Qualifications
- 3–5 years of IT procurement, quoting, or solution support experience in a managed services, VAR, or systems integrator environment.
- Strong understanding of IT hardware, software licensing, and infrastructure components.
- Experience preparing client proposals, quotes, or solution documentation.
- Familiarity with ERP, PSA, or procurement platforms (e.g., NetSuite, ConnectWise, HaloPSA, or equivalent).
- Proficient with Microsoft 365 (Excel, Teams, SharePoint, Outlook).
- Excellent communication, analytical, and organizational skills.
- Ability to work across departments under defined timelines with minimal oversight.
Preferred
- Background in manufacturing or professional services.
- Working knowledge of ITIL asset and configuration management.
- Certification in procurement, supply chain, or IT asset management.
Work Environment
Fully onsite in the Indiana office. Must be able to lift up to 25 lbs and handle IT equipment as needed. Occasional travel may be required for audits or coordination with other sites.
Reporting Line
Reports to the IT Operations Manager, with dotted-line support to Client Account Management and Engineering teams.
