Electra Therapeutics, based in South San Francisco, California, is a clinical stage biotechnology company developing therapies that target signal regulatory proteins (SIRP) for the treatment of immunological diseases and cancer. Reporting to the Head of Human Resources, the Executive Assistant provides support in a one-on-one working relationship with several Executive team members. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive team – specifically, the Chief Medical Officer, Chief Scientific Officer and Head of Human Resources. The Executive Assistant also serves as a liaison to senior management teams; organizes and coordinates executive outreach and external relations correspondence as needed; and oversees special projects.

Key Responsibilities

  • Completes a variety of administrative tasks for the Executive Team: managing an extremely active calendar of appointments; completing and submitting expense reports; composing and preparing correspondence that could be confidential; arranging detailed travel plans, itineraries, and agendas; registration for and coordination of various conferences throughout the year
  • Ensures the Executive Team’s schedules are up to date; prioritize requests while troubleshooting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements
  • Communicates directly with internal employees, consultants, Board Members, and various external parties on business matters as directed
  • Takes the lead on planning and coordination of all staff meetings, offsites and company events with input from the Executive team
  • Assists, plans, coordinates and executes on various external engagements and events, such as investigator meetings/events, advisory board meetings, conferences and booths, board meetings, etc.
  • Researches, prioritizes, and follows up on incoming questions or requests addressed to members of the Executive Team, including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response
  • Anticipates needs of Executives and provides assistance and support as needed
  • Prepares meeting agendas, materials, and presentations; attends virtual and in-person meetings and conferences as needed
  • Supports ad-hoc department projects
  • Works with discretion and sensitivity related to confidential information

 

Education and Professional Experience:

  • Minimum 4 years of experience supporting C-level Executives; prior experience supporting CMOs and/or CSOs strongly preferred
  • Prior working experience in the biotechnology industry is required
  • Bachelor’s degree is preferred
  • Professionalism in communication and ability to build relationships with Executives, Board members and company employees
  • Excellent verbal and written communication skills
  • Strong work ethic and a can-do attitude to accommodate a multitude of responsibilities and priorities both big and small
  • Demonstrated ability to pivot quickly, exercise strong prioritization, and adapt to changing priorities while operating with urgency and consistently delivering high-quality, high-caliber support.
  • Proficient with emerging technology, Microsoft Office (PowerPoint, Word and Excel), Adobe Acrobat, DocuSign, SharePoint, etc.
