The Administrative Assistant is responsible for providing office management support, executing administrative policies and assisting managers and staff with administrative support tasks.

Essential Job Functions
    Greet, assist and direct guests, employees and clients
    Screen/route incoming calls and correspondences including mail, email and faxes; respond independently when possible
    Prepare and file reports and documents including with government agencies to conform with statutes
    Compose and distribute general correspondences, memos, charts, tables, graphs, reports, presentations and other         documents as needed
    Coordinate manager/department calendars and schedule appointments
    Prepare, compose and transcribe records such as agendas, notices, minutes, and resolutions for department meetings
    Create and maintain recordkeeping, database and spreadsheet files
    Maintain office equipment, coordinate IT needs, order department supplies and arrange for equipment maintenance
    Assist in outlets during peak periods or staff shortages (as required)
    Manage expense reports and code, sign and submit invoices (as required)
    Maintain department operations manuals, safety and training materials (as required)
    Other duties as assigned

Qualifications

    Must be 18 years of age or older
    High School Diploma or GED required
    Minimum one year of experience in a clerical/administrative support position
    Strong phone and computer skills; proficiency in Microsoft Word, Excel, Outlook and PowerPoint
    Must be fluent in English; Spanish proficiency preferred
    Basic accounting skills
    Valid, current and unrestricted Driver's License required for certain positions
