Office Manager
POSITION DESCRIPTION
The Georgia Association of REALTORS® is seeking an enthusiastic and proactive Office Manager who excels in hospitality and customer service. This individual should have strong time-management skills and have a self-starter attitude to support the administrative needs of the Association, staff, and members.
REPORTS TO: Director of Finance
EMPLOYMENT TYPE: Full-time, hourly
WORK SCHEDULE: Monday through Friday, 8:45 a.m. – 5:15 p.m., with a 30-minute lunch break
PHYSICAL REQUIREMENTS: Light lifting, cleaning, and maintenance tasks as needed
DUTIES AND RESPONSIBILITIES
Front Desk Responsibilities
- Serve as the primary point of contact for members, visitors, and staff, ensuring a welcoming and professional experience.
- Answer incoming calls and address member inquiries about GAR programs, products, services, functions, and events. Stay updated on all Association activities to provide accurate and timely information.
- Schedule and manage all Boardroom and Classroom reservations for meetings and events, including coordinating beverage orders.
- Oversee setup and cleanup of the Boardroom and Classrooms following events or meetings.
- Manage incoming and outgoing mail, date-stamping and distributing it to appropriate departments. Handle online postage purchases as needed and assist with large mailings upon request.
- Maintain a tidy and well-stocked Admin/Copy Room, ensuring all equipment is functional and supplies are available.
- Coordinate maintenance for copiers, printers, HVAC systems, plumbing, and other office equipment.
General Office Responsibilities
- Order office and kitchen supplies as needed or requested, ensuring adequate stock levels.
- Manage building maintenance, including scheduling vendor appointments, researching vendor options, and monitoring vendor performance (e.g., janitorial services). Obtain quotes for significant repairs or maintenance.
- Ensure the kitchen, common areas, Boardroom, and classrooms remain clean and organized. Stock and prepare the staff break room daily. Clean out the refrigerator weekly.
QUALIFICATIONS
- Experience in customer service or member services preferred.
- Proficient in computer applications (e.g., MS Office Suite) and internet research.
- Ability to work independently with minimal supervision.
- Detail-oriented with strong organizational skills.
- Prior experience in office management is a plus.
EDUCATION & EXPERIENCE
- High School Diploma or equivalent required; additional education is a plus.
- 2 to 4 years of experience in an office setting preferred.
