We are seeking an organized and proactive Executive Assistant/Office Manager to join our organization. This role will directly support our Chief Executive Officer and work alongside the management team to oversee and ensure all aspects of the day-to-day office operations run smoothly.  When guests arrive at the office, you will greet them and determine the reason for their visit. You will primarily support our CEO with administrative duties, including scheduling appointments, preparing presentation materials, and coordinating logistics but will also support other staff as needed and able. When necessary, you will input information into our database to ensure our electronic files are updated.

Job Duties and Responsibilities

·       Welcome and greet clients and office guests

·       Manage and maintain CEO’s calendar and schedule, scheduling internal and external meetings, conferences, special events, telecommunications, and travel

·       Screen incoming phone calls, inquiries, visitors, and correspondence, and route accordingly

·       Assist CEO in preparation of materials for meetings, conferences, etc.

·       Prepare correspondence on behalf of CEO

·       Review and respond to email, mail, invitations, and phone calls; this may include responding on behalf of CEO

·       Provide coordinated support for management team as an Office Manager in the context of the overlap in meetings and responsibilities between this role and CEO

·       Maintain confidentiality of highly sensitive information

·       Manage complex office administrative work requiring the use of independent judgment and initiative

·       Monitor and maintain office equipment and supplies; request repair or restocking when necessary

 

Requirements and Qualifications

·       Bachelor’s degree

·       5+ years of experience in administrative support functions

·       Fast, proficient, and accurate typist

·       Proficient with Microsoft Suite and common office equipment

·       Excellent customer service and communication skills

·       Self-starter who works well independently

·       Professional demeanor

·       Experience and/or interest in event planning a plus
