We are looking for talented and passionate people to join our team and be part of working towards our mission.  We are seeking a proactive, highly organized, and personable professional to serve as the Executive Assistant to our CEO while also assisting with front desk support. This hybrid role is critical to ensuring smooth day-to-day operations and creating a positive experience for team members, partners and patients. This opportunity is perfect for an energetic self-starter who wants to join a fast-growing startup and become an instrumental part of the team.

 

KEY RESPONSIBILITIES

  • Manage the CEO's calendar, including scheduling meetings, appointments and travel arrangements.

  • Coordinate and prepare materials for meetings, presentations, and reports.

  • Serve as the primary point of contact for the CEO, managing communication and correspondence.

  • Assist with project management and follow-up on key deliverables to ensure timelines are met.

  • Handle confidential information with discretion and professionalism.

  • Answer and direct phone calls, emails, and inquiries to the appropriate teams.

  • Answer phone calls from patients, providing a professional and empathetic experience. Address basic inquiries, assist with scheduling, or route calls to the appropriate team member.

  • Manage incoming emails and messages, ensuring timely responses to patient and customer needs.

  • Assist with the design and implementation of best-in-class customer support policies and procedures to measure success

  • Coordinate regularly with other team members to build processes and cross-functional workflows that enable each team to function alongside one another efficiently and effectively, with a patient-first mentality

 

BACKGROUND AND EXPERIENCE

  • Bachelor's degree in related field

  • 3+ years of experience in executive support, administrative roles, or office management, ideally in a startup or healthcare environment.

  • Ability to show empathy and passion for outstanding customer service

  • Excellent verbal and written communication skills

  • Exceptional problem solving and critical thinking skills
