The Executive Assistant to the President & CEO (CEO) will be the primary support for the CEO and the Board of Directors (“Board”) of the National Council of Nonprofits. The Executive Assistant will handle a wide range of duties in a proactive and detail-oriented manner to facilitate the CEO’s ability to effectively lead the organization. The Role

The Executive Assistant to the President & CEO (CEO) will be the primary support for the CEO and the Board of Directors (“Board”) of the National Council of Nonprofits. The Executive Assistant will handle a wide range of duties in a proactive and detail-oriented manner to facilitate the CEO’s ability to effectively lead the organization. This individual must be creative and enjoy working on a collegial team that is mission-focused, results-driven, and solutions-oriented. Success in this role will require effective communications and a trust-based relationship between the Executive Assistant and CEO.

 

What You'll Do

SUPPORT THE CEO

  • Provide all administrative and strategic support to the CEO on daily tasks and special projects, including making appointments, managing the schedule, organizing the CEO’s files and records, creating reports, and assisting with research and other analytical projects as requested.
  • Filter and prioritize incoming communications and requests, recommending appropriate responses or courses of action, exercising judgement to reflect CEO's policy and style in handling matters expeditiously, and following through to successful completion.
  • Be the CEO’s steadfast partner in protecting and advancing the brands of the organization and CEO by, among other ways, modeling our values, following through on commitments, maintaining a high level of integrity when dealing with confidential information, and fostering a caring culture of serving others, learning, sharing reliable information with utmost professionalism, and having fun while making a difference.
  • Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities and assembling necessary materials to prepare the CEO for all internal and external meetings.
  • Book travel and hotel arrangements, as needed, and create itinerary and expense reports.
  • Ensure the CEO's bio is kept updated and respond to requests for materials regarding the CEO and the organization in general.
  • Other duties as may be assigned by CEO.


SUPPORT THE BOARD OF DIRECTORS

  • Assist the CEO as administrative liaison to the Board, including scheduling, logistical planning for, and organizing all Board gatherings, including meetings, retreats, meals, and events, as well as helping prepare and distribute materials for Board meetings, such as agendas, Board packets, reports, and other materials and ensuring that the Board records are filed properly.
  • Take notes during Board meetings and prepare draft minutes.


SUPPORT OTHER STAFF

  • Assist other staff with administrative support as needed.
  • Help arrange travel, reservations, and other outside engagements for staff members.


ADMINISTRATION AND OTHER DUTIES

  • Serve as Ambassador of First Impressions, greeting office visitors and answering and routing incoming calls, voicemail, and website contact form inquiries.
  • Receive and distribute all incoming mail and coordinate outgoing mail.
  • Keep the database up to date.
  • Make sure the office is kept in orderly and tidy fashion.
  • Serve as point of contact for building management and attend building meetings on operating procedures.


What You'll Need – Qualifications

  • At least five years of administrative experience, with a minimum three years supporting a senior leadership role. Also, experience with nonprofit boards is highly preferred.

  • Unwavering commitment to equity internally and externally as a personal and professional value.
  • Energetic, dependable (gets it done), and exemplary (gets it done exceptionally well).
  • Exceptional communication skills, especially listening, writing, proofreading, editing, and minute-taking, with consistently great attention to details.
  • Very strong interpersonal skills with experience in building strong internal and external relationships through diplomacy and positive professionalism with staff, board members, network members, external partners, funding partners and donors, policymakers, and the public.
  • An enthusiastic and resourceful team player who enjoys being part of an extremely collaborative, collegial environment of highly dedicated and talented staff committed to shared success, with the ability to also be effective working independently with little or no guidance and with a belief that no job is too big or too small.
  • Highly organized with excellent time management skills, able to excel at multi-tasking, prioritizing, and meeting deadlines while juggling multiple projects.
  • Creative problem-solver with an unwavering work ethic, sense of purpose, and sense of humor.
  • Proven ability to maintain confidentiality related to documents, correspondence, and discussions.
  • Ability to give and take feedback as part of a learning culture committed to achieving better results.
  • Experience coordinating board meetings or high-level meeting logistics.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).


Essential Details

  • Compensation: $75,000 – $80,000, commensurate with experience, plus the generous benefits described below. This is a salaried, exempt position.

  • Location: Flexible. Preferably in Washington, D.C., where our office is located, but we have multiple remote members of our team, and the right candidate can be located anywhere in the U.S. if they are willing to travel to D.C. periodically
