Opening Act is seeking an arts educator with administrative experience to become its full-time Program Coordinator. The Program Coordinator will be a key contributor to ensuring that all of the administrative functions of Opening Act’s programs are running fluidly, and excited to join a highly collaborative and dynamic team of professionals who are committed to living out Opening Act’s core values in our programs:

 The Program Coordinator will work closely with the Acting Director of Programs & Manager of Programs & Student Experiences to provide operational support for Opening Act’s programs which include Core After School Programs, Student Leadership Company, Summer Arts and Leadership Conservatory, Act 2, and District 79.   • Basic knowledge of the NYC Department of Education and formal training in arts administration can be a plus, relevant experience and intent to develop in this field are more important.
  • Comfort in a small, fast-paced, entrepreneurial non-profit environment

 

Responsibilities include but are not limited to:

School and Programmatic Support (25%)

  • Assist with creating, tracking, and organizing all student and program paperwork
  • Hands on support for the launch of Fall and Spring programs such as preparing and distributing recruitment materials
  • Provide hands on support for all student facing events, including Act 2 Summits & Yesfest, OA’s yearly student play festival
  • Help maintain google drive for Opening Act programs, including the teaching artist resources website

 

School Partner Support (25%)

  • Assist the Director of Programs in maintaining ongoing school partnerships, including point people outreach & troubleshooting issues as they arise
    • Short Term help with coordinating vaccination status updates for schools and providing verification as its requested
  • Site visits as needed

 

Teaching Artist Support (50%)

  • Source venues for in person training and meetings and organize logistics (food, prepping materials, etc.)
  • In collaboration with Acting Director of Programs, provide troubleshooting support for teaching artists, including tracking school logistical issues and scheduling conflicts
  • Communicate program-wide calendar events that impact Teaching Artists, to ensure all aspects of programming are on track, well planned, and ahead of deadline
  • Assist in impact data collection and analysis by ensuring students evaluations are administered, collected, and entered into online tracking system
  • Provide all teaching teams with student survey results in a timely fashion, using the Hello Insight digital platform
  • Bi-weekly checks on Digital Paperwork folders (saving by student name and tracking permission slips for events)
  • Monthly checks on student attendance spreadsheets, with follow up reminders for teaching artists
  • Represent Opening Act with external partnerships as needed, including OA’s ongoing partnership with the Teaching Artist Project, a consortium of arts non profits who meet monthly
  • Other duties as needed by program team
