Ostra Cybersecurity is seeking a dynamic individual for a part-time position as an Executive Office Manager and to provide comprehensive support to our Founder and CEO, while also managing HR administrative tasks and ensuring efficient office operations.

The Executive Office Manager will report directly to the Founder, playing a crucial role in managing their communications, calendars, and executing general office management, administrative responsibilities, and HR administrative duties.

Job Type: Part-Time

Job Location: On-site in our Minnetonka office

Responsibilities may include:

  • Provide comprehensive executive assistance to both the Founder and CEO, including managing communications, calendar appointments, and organizing meetings.
  • Handle HR administrative tasks such as, but not limited to payroll, onboarding, and offboarding processes.
  • Maintain accurate records and documentation.
  • Act as the primary contact for the company, establishing relationships with employees and external partners.
  • Manage confidential and sensitive matters with the utmost discretion.
  • Oversee office inventory, reordering, and supply tracking.
  • Manage information flow in a timely manner.
  • Organize company-wide communications, meetings, and events.
  • Handle employee access and hardware needs.
  • Assist in the implementation and management of office policies.
  • Other duties as assigned.

What You Bring:

  • Minimum of 4 years of administrative experience.
  • Proficiency in Microsoft Office.
  • Experience with SmartSheet or Adobe is a plus.
  • Knowledge of administrative and clerical procedures and systems.
  • Previous experience in the IT or Cyber Security fields is a bonus.
  • Previous experience and/or understanding of HR administration
