The Lede Company is looking for an Office Administrator to support our Corporate team. Beyond ensuring that office operations are running smoothly, the Office Administrator will have the opportunity to recommend and roll out new office operations procedures for the NY office.
This is an in-person position. We are looking for someone who can be on-site Mon - Fri, 9am - 6pm. Some overtime may be required.
RESPONSIBILITIES
- Greet all guests to the Lede NY office
- Provide administrative support to the Corporate team, including calendar management and meeting coordination
- Manage incoming and outgoing emails, letters, packages, and other forms of correspondence
- Facilitate all maintenance, repairs and cleanings for the office and office equipment
- Handle correspondence and relationships with office vendors, submit work orders, schedule/escort/manage vendors as needed
- Assist HR with employee onboarding/offboarding (including distribution and collection of company equipment, seating, etc.); work with IT to set up new hire laptops
- Recommend operational efficiencies and draft/maintain clear guides to ensure consistency of operations
- Monitor and order office supplies, including computers and other equipment, snacks and other miscellaneous items
- Ensure that our NY office is kept clean and tidy at all times
- Work closely with Corporate teams (Operations; Finance/Accounting and HR) to ensure the smooth running of Lede offices
- Manage conference room scheduling and set up, as needed
- Plan and coordinate company events including holiday parties, anniversary parties, happy hours, etc.
- Track and reconcile expenses in a timely manner
- Assist colleagues whenever there is an opportunity to do so
- File and organize records, invoices and other important documentation
- Manage NY office operational systems
- Other administrative and office operations duties as needed
QUALIFICATIONS
- Proven experience as an office administrator, office coordinator or relevant role
- Outstanding communication and interpersonal abilities
- Must be proactive and responsive
- Excellent organizational and leadership skills
- Familiarity with office management procedures
- Excellent proficiency in Word, Outlook, Excel, Google docs and other office software
- Strong time-management and multitasking abilities
- Experience with meeting scheduling and calendar management
- Ability to maintain confidentiality of company information
- Meticulous attention to detail
