ProSomnus Sleep Technologies is seeking an exceptional Office Manager to execute daily operations at its Pleasanton office. We are building a dynamic, collaborative team and are looking for a highly organized and proactive Office Manager to help establish and maintain our office operations, ensuring a smooth and efficient working environment.

The Office Manager will be responsible for overseeing the day-to-day operations of the office, managing administrative tasks, and supporting our team with various logistical, operational, and organizational needs. The ideal candidate will be a self-starter, able to juggle multiple tasks, and have strong attention to detail. This position requires excellent communication and organizational skills and the ability to be a culture carrier.

Key Responsibilities:

  • Office Operations Management:

    • Ensure the office environment is clean, organized, and equipped with necessary supplies.
      • Monitor and order office supplies, ensuring inventory is kept up-to-date.
    • Vendor Management: 
    • Manage all services including: food and beverage, equipment, supplies, and maintenance
    • Oversee mail and package service operations and partner with shipping/receiving lead
    • Handle office maintenance, including working with external vendors (cleaning, repairs, IT support).
    • Manage office equipment (computers, printers, etc.) and liaise with IT support for troubleshooting and maintenance.
    • Manage office expenses, ensuring cost-effective operations.
    • Coordinate with building management for facility-related matters.
  • Administrative Support:

    • Front Desk Management: Greet and assist visitors, answer phone calls, and manage incoming emails, ensuring a professional and welcoming first point of contact for guests and clients.
    • Occasionally assist with travel arrangements, meeting coordination, and calendar management as needed.
    • Organize office events, meetings, and team-building activities.
    • Troubleshoot minor IT/AV issues onsite
  • People Team (HR) Support:

    • Occasionally assist with scheduling candidate interviews
    • Support the onboarding process for new hires, ensuring they have necessary equipment and access.
    • Assist with People team related documentation and filing.
  • Company Culture and Engagement:
    • Help cultivate a positive and productive office culture through various engagement initiatives.
    • Act as a point of contact for team members with questions or concerns about office procedures.
    • Foster a welcoming environment for visitors and clients.

Qualifications:

  • 3+ years of office management experience, administrative roles, or similar positions, preferably in a startup or fast-paced environment.
  • Ability to handle sensitive information with discretion and professionalism.
  • Ability to interact with all levels of the organization.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams)
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • A proactive, adaptable, and team-oriented mindset.
  • An extremely high sense of urgency and ability to work in fast-paced, ever-changing environment.
  • Proven project management and organizational skills
  • A high school diploma or equivalent; a college degree is a plus.
  • Must be willing to work on-site in the Pleasanton office Monday - Friday.
  • Must be able to lift items up to 35 pounds.
