Who We Seek

Hispanic Federation seeks an Immigration Program Coordinator to provide direct support to HF’s immigration work and outreach. The Coordinator will assist the Immigration Department’s community outreach efforts, data management and provide administrative support for the program and its events. The position provides natural opportunities to learn and requires the ability to remain flexible and adaptable regarding work assignments.

The successful candidate will have experience working with administrative processes and protocols, a commitment to social justice, and a high attention to detail. The Coordinator will liaise with community based partners and with internal departments to ensure all components are working in collaboration. The position operates under a hybrid model with days in-office and remote. The Coordinator will also be required to work outside of the office as events and program needs require.

Job Duties and Responsibilities

Provide administrative and outreach support by carrying out the following responsibilities:

  • Manage data entry, maintain up to date client logs, and ensure all electronic files are uploaded into department SharePoint.  

  • Work with operations team to track inventory of supplies and technology related to the Immigration Programs. 

  • Support expense tracking and ensuring back-ups are available for financial and programmatic audits (requesting payments, managing receipts, and ensuring proper reporting of expenses). 

  • Assist with the coordination of Hispanic Federation’s immigration department’s program reports, site visits, program updates and other items as required. 

  • Streamline, monitor and track all departmental data as it relates to services provided for internal and external reporting.   

  • Serve as the first point of contact and refer individuals to appropriate immigration services by using all tools of communication, such as hotline number, text messaging platform, emails, etc.  

  • Organize and review requests for financial assistance in support of immigration applications; notify all clients of their eligibility and any decisions; coordinate transfer of funds with the Director for Immigrations Programs. 

  • Support community outreach, remind individuals of their upcoming appointments and meetings with HF program staff and legal support. 

  • Assists with virtual and in-person immigration town halls, immigration clinics, consultation days, community workshops, hotline initiatives, etc. 

  • Represent HF at outreach community events and recruit participants for immigration events. 

  • Assist in cultivating new community partners that will serve immigrant communities. 

 

Required Skills and Qualifications

  • Bachelor’s degree required, a focus on public policy, government, or political science preferred 

  • At least two (2) years of related experience working with a nonprofit supporting community outreach and events 

  • Computer skills including Microsoft Office (Word, Excel, PowerPoint, Teams) along with other programs and operating systems required 

  • Excellent communication skills with strong research and writing experience is required 

  • Proficiency in written and spoken Spanish is required, additional language spoken is an asset 

  • Must possess strong organizational skills and an attention to detail 

  • Experience with community engagement and direct outreach with the people of diverse backgrounds along with an understanding of New York City's diversity an asset 

  • Excellent interpersonal skills, including ability to work collaboratively and respectfully with staff at all levels and with diverse communities 

  • Experience with contract management and file/data management a plus 

  • Ability to prioritize, multi-task, and meet deadlines 

  • Exposure to managing budgets and financial tracking process 

  • Experience presenting and with public speaking is required 

  • Demonstrated commitment to advancing the Hispanic Federation’s values, mission, and goals 

 

Compensation and Benefits:

Position salary starting at $45,000 -$50,000 and salary is and is commensurate with experience. Compensation comes with a robust benefits package with a fully subsidized medical, dental, vision insurance after 2 months, 403(B) retirement plans with a company match after 6 months, and access to flexible spending and pre-tax commuter benefits.

First year employees of the Hispanic Federation receive a PTO package with 15 days designated for vacation, 4 Personal Days, and 8 Sick Days annually.
