Who We Seek

Hispanic Federation (HF) seeks an Immigration Initiatives Program Coordinator to support the coordination and implementation of HF’s immigration programs that assist community members with accessing essential programs, services, and resources. The Coordinator aids with community outreach efforts, data collection and reporting, and overall administrative support for the day-to-day operations of program activities and related tasks. This role works closely with internal departments, community-based partners, and program participants to ensure programs run smoothly, meet objectives, and align with programmatic goals. The ideal candidate is highly organized, detail-oriented, adaptable with experience working with administrative processes and protocols, event planning, and a commitment to social justice.

The position operates under a hybrid model with days in-office and remote. The coordinator will also be required to work outside of the office for events and programs, as requested.

Reports to: Immigration Initiatives Program Manager

 

Job Responsibilities

Provide administrative, event planning, and outreach support by carrying out the following responsibilities: 

  • Assist with coordination of immigration community empowerment programs and events, and special initiatives, including scheduling, logistics, and management of participant and partner communication. 
  • Support the preparation, review, and tracking of grant applications, reports, and related documentation. 

  • Support the review of organizational fiscal reports for reimbursement grants, ensuring expenditures align with approved budgets and actual expenses.  

  • Track partner and participant engagement, manage contact lists, and data entry for reporting and evaluation. 

  • Manage scholarship applications and maintain accurate documentation to process and submit scholarship payment requests in a timely manner. 

  • Manage routine financial tasks, including preparing and submitting check requests, credit card requests, and other documentation related to program activities. 

  • Track financial transactions to ensure timely processing and program compliance. 

  • Represent HF at outreach community events and recruit participants for immigration program events. 

  • Assist in cultivating new community partners that serve the immigrant community.

 

Required Skills and Qualifications

  • Bachelor’s degree required, in Public Administration, Business Administration, Nonprofit Management, or a related field. 

  • At least two (2) years of related experience working with a nonprofit supporting community outreach and events. 

  • Computer skills including Microsoft Office (Word, Excel, PowerPoint, Teams), along with other programs and operating systems required. 

  • Must possess strong organizational skills and an exceptional attention to detail. 

  • Excellent communication skills with strong research and writing experience is required. 

  • Proficiency in written and spoken Spanish is required; additional languages spoken is an asset. 

  • Experience with community engagement and direct outreach with the people of diverse backgrounds along with an understanding of New York City's diversity is an asset. 

  • Excellent interpersonal skills, including ability to work collaboratively and respectfully with staff at all levels and with diverse communities. 

  • Experience with contract management and file/data management a plus. 

  • Ability to prioritize, multi-task, and meet deadlines. 

  • Exposure to managing budgets and financial tracking process. 

  • Experience in presenting and with public speaking is required. 

  • Demonstrated commitment to advancing the Hispanic Federation’s values, mission, and goals.

 

Compensation and Benefits:

Position salary starting at $45,000 -$50,000 and salary is and is commensurate with experience. Compensation comes with a robust benefits package with a fully paid medical, dental, vision insurance upon start, 403(B) retirement plans with a company match after 6 months, and access to flexible spending and pre-tax commuter benefits.

First year employees of the Hispanic Federation receive a PTO package with 15 days designated for vacation, 4 Personal Days, and 8 Sick Days annually.
