Position Summary 

The Administrative Coordinator (Taunton) oversees the daily support needs to the faculty and staff of the nursing and health sciences programs. They serve as administrative and operational support for students. The Administrative Coordinator is also tasked with updating and assuring the accuracy of student records based on academic advising data, requiring professional and timely interaction with other college departments such as the admissions, registration, and financial aid offices. Due to the complex and sensitive issues that can arise, a high emphasis is placed on confidentiality and privacy. The Administrative Coordinator may assist with other projects as needed. Work hours may include some evenings and weekends, and occasional travel between campuses may be required. The successful candidate is expected to follow the Bay State College philosophy, policies, and procedures as well as those of the School of Nursing and Health Sciences when carrying out the duties and responsibilities of this position.

Essential Job Functions

  • Implements office processes and procedures as directed.
  • Maintains databases for departmental regulatory reporting
  • Acts as point of contact for program vendors on behalf of faculty and Dean
  • Reviews and maintains faculty personnel folders for required and current documentation
  • Reviews and maintains student folders for required and up to date information
  • Assists in the preparation and maintenance of external agency contracts.
  • Collaborates with financial, human resources, and computer technology departments to facilitate program operations
  • Organizes departmental meetings including developing agenda with Dean and keeping minutes
  • Manages all aspects of office communication for non-academic issues
  • Manages departmental correspondence; answers routine correspondence for distribution over own signature and prepares correspondence for others’ signature.
  • Maintains calendars and schedules all meetings as necessary
  • Independently organizes and executes special projects as requested by department administration
  • Acquires specialized knowledge of the area within which job is performed.
  • Supervises federal work study student(s)


Education and Experience Requirements   

  • Have a minimum of an associate degree
  • Have 2 years of experience in a similar position
  • Excellent computer, written and oral communication skills.
  • Detail-oriented with the ability to work with effectively under deadlines. 
  • Effective and professional communication skills across multiple levels and with faculty, staff and students of diverse backgrounds.
  • Demonstration of qualities that facilitate collaboration in a team-oriented environment.
  • Provide confidentiality around sensitive issues and be able to determine appropriate levels of communication around sensitive information.
  • The ability to effectively set goals, multitask and manage time.
  • The ability to complete projects independently
  • Demonstrates and displays self-motivation and initiative.


Working Conditions

  • Part-Time position. Approximately 24 hours per week.
  • Normal office conditions. Work is performed primarily in a standard office environment but may involve exposure to moderate noise levels.
  • Work involves the operation of computer equipment for six to eight hours daily and includes physical demands associated with a traditional office setting, e.g., walking, standing, communicating, and other physical functions, as necessary. 
  • Must be available to work a flexible schedule.
  • Travel is primarily local during the business day. May require travel to Boston campus occasionally.
