TITLE:                  Shipping and Receiving Clerk

REPORTS TO:               Sr. Buyer Planner


The Shipping and Receiving Clerk must demonstrate quality in all actions; must demonstrate leadership and able to mentor based on experience within packaging, stockroom and warehouse areas. The Shipping and Receiving Clerk performs oversees and keeps records of all shipping and receiving. More specifically, they are responsible for organizing, sorting, and transferring goods from one location to another. They monitor company packages from the start to finish, ensuring proper packing techniques and shipping practices.  The Stockroom Clerk is responsible for accurately picking parts from stock, for all jobs from pick lists, staging materials for lots (routers), interacting with Sales and Customer Support departments, organizing the stock room, lead cycle counting and storage of inventory. In this role as a Shipping and Receiving Clerk, will provide support to manufacturing operations to assure that our products exceed the requirements and expectations of patients, physicians, regulatory agencies and the business. The Shipping and Receiving Clerk is part of the Customer Support and Supply Chain team. This group is the main point of contact for all East End Medical customers – patients, healthcare professionals, hospital administrators, buyers, group purchasing organizations; including East End Medical sales and marketing force; service and support teams. The team is responsible for delivering exceptional customer experience, and provide quality support services for our business partners to maximize value within the organization. Customer care and supply chain teams is accountable for ensuring all orders are processed and meets East End Medical’s audit/regulatory controls and business guidelines; the team seeks to drive revenue recognition and optimize customer satisfaction by acting as the single point of contact (SPOC); processing QT9 transactions/order entry; managing back order and deliveries; revenue maximization and timely invoice dispute resolution.



·       Performs a combination of manual packaging, and clerical shipping/ receiving duties.

·       Utilize computer systems and printers (e.g. recording inventory transactions, and generate label).

·       Label stock items with labeling equipment such as identification tags.

·       Document discrepancies between inventory records and physical counts of stock.

·       Receives incoming materials or prepares materials for shipment.

·       Responsible for receiving, counting, and verifying incoming orders to Stockroom and maintaining traceability documentation related to parts.

·       Responsible for pulling parts from inventory for work orders.

·       Process shipping requests, requisitions, or purchase orders.

·       Performs accurate inventory checks as directed.

·       Distribute products or materials to store shelves, co-workers, or customers.

·       Organize and maintain stockroom area.

·       Maintain appropriate levels of supplies; replenish as needed.

·       Process damaged or defective stock per company protocol.

·       Examine and inspect stock items for wear or defects, reporting any damage to supervisors.

·       Report malfunctioning or damaged stock-handling equipment to management.

·       Comply with safety regulations for moving heavy objects and using machinery (forklift).

·       Maintain documents.

·       Unpacks or unwraps items such as finished products, raw stock, assemblies, parts, building materials, office supplies, equipment, etc.

·       Verifies quantity, weight, and conformance of materials to stated identifications; logs receipt of items on system, processes freight bills, packing sheets, and other documents; reports materials shipped and bills of lading; posts weight and shipping charges and routes merchandise to destinations.

·       Lift and carry boxes, bags and tubs of compounds weighing up to 50-pounds 

·       Push inventory carts carrying up to or exceeding 50-pounds of items, and objects

·       Operate a Forklift and and pallet jacks in building on daily basis

·       Must follow procedures, methods and sequence of operations in performing daily tasks.

·       Ensure all product, material, parts, and documentation follow Company specifications and quality standards.

·       Become proficient in Lean operating principles, and help facilitate their application to the line.

·       Actively contribute to ongoing continuous improvement efforts and projects. 

·       Work under close supervision, on routine work and general duties.

·       Communicate constantly with supervisor, regarding issues that may come up on the production line.

·       Foster a good working relationship with peers, managers and engineering staff.

·       Maintain Device History Records according Good Documentation Practices.

·       Handle production materials and chemicals per operating procedures. 

·       Acquires job skills and learns Company policies and procedures to complete routine tasks.

·       Make recommendations to supervisor/manager/engineer on improving quality, efficiency, cost of Company product(s), processes and/or productivity techniques


·       Performs clerical post sales activity – Purchase Order (PO) routing to Order Management in QT9.

·       Records and tracks sales request and purchase orders received in the Order Processing System

·       Handles and coordinates urgent orders received for processing

·       Organizes distribution of transactions for processing to QT9 based on assignment/segmentation

·       Flags Customer Service Supervisors on volume surge

·       Manages PO assignment and ensures correct tagging of tasks

·       Courses misrouted emails to correct recipients

·       Creates summarized end of day reports

·       Acts as gatekeeper of process compliance and reports any irregularities or non –conformance

·       Establishes effective long-term professional relationships and high-level of satisfaction with customers and key stakeholders

·       Supports East End Medical’s objectives, revenue growth activities and operational excellence

·       Must be hands-on and highly service-oriented

·       Conducts month end inventory in accordance with company policy

·       Maintain inventory control through thorough checking and documentation of all inventoried items

·       Take regular inventory counts and develop variance reports

·       Investigate variances through review of various reports and worksheets (routers)

·       Maintain all records and verify production routes as needed it

·       Prepare reports, documentation or other information as necessary or requested

·       Liaison with support departments to ensure paperwork/documentation is completed properly

·       Additional duties as assigned.


·       Minimum of 2 years of relevant experience and may require vocational or technical education or certification in addition to prior work experience

·       Driver's License and comfortable driving a forklift

·       High School diploma or GED (Technical diploma preferred)

·       At least 5-8 years medical device manufacturing experience, fabrication on a manufacturing line and/or clean room environment within the medical device or pharmaceutical industry

·       Available for Shift Work as business needs (1st, 2nd & 3rd)



·       Previous Warehouse experience.

·       Experience working in a Cleanroom or Laboratory work environment

·       Previous Manufacturing Experience

·       Previous Medical Device Experience

·       Experience with ERP / Inventory Systems.

·       Previous experience shipping and receiving medical devices

·       Experience shipping hazardous materials

·       Excellent written and oral communication skills

·       Strong sense of motivation and teamwork 

·       Previous experience in Customer Service industry experience

·       Previous Catheters experience is a plus.

·       Able to multi-task in an efficient, accurate, and timely basis

·       Basic computer skills needed, in Microsoft Excel, Outlook and Word

·       Self-starter, motivated individual requiring minimum supervision to complete assigned tasks.

·       Ability to read and comprehend instructions, in English.

·       Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

·       Strong verbal communication skills and the ability to effectively present information to other employees and management.

·       Training in Good Manufacturing Practices (GMP), and knowledge of Food and Drug Administration (FDA), QSR, and ISO 9000 requirements.
