Office Administrator - Shipping and Receiving

SIS is currently looking for an enthusiastic Office Administrator to join our team. This position will play an integral role in all aspects of daily shipping and receiving processes of our company. The Office Administrator will also be responsible for monitoring, maintaining, and stocking the company's shipping supply inventory, generating end-of-day reports and communicating with sales representatives. Qualified candidates will possess strong attention to detail; the ability to effectively multi-task; good communication and teamwork skills; and a friendly demeanor.

Key Accountabilities:

  • Receive and organize daily incoming shipments of repairs, replacement parts, and operational supplies from courier delivery services and Sales Representatives
  • Communicate with Sales Representatives to facilitate order processing
  • Manage daily shipping process, including:
    • Partner with other Office Administrators, Quality Control Specialists and Account Managers to effectively manage shipping workflow
    • Closely review/verify all information on packing lists, and shipping information on outgoing deliveries to ensure zero errors
    • Verify order components and properly package items for delivery, including accurate creation and printing of UPS and FedEx shipping labels
    • Attention to detail and organizational skills are an absolute must
  • Schedule or modify pick-up times with shipping companies, as needed
  • Drop off packages at shipping facilities (FedEx, UPS), as needed
  • Assist with moving approved orders through the workflow process
  • Maintain a clean, safe, and well-organized work area and replenish shipping supplies, as needed
  • Maintain central repository of up-to-date Material Safety Data Sheets
  • Identify areas of improvement regarding quality issues and offer solutions
  • Other projects and duties, as assigned


Key Competencies:

  • High School diploma or equivalent
  • 1+ years in retail or manufacturing environment
  • Highly organized and detail-oriented
  • Ability to multi-task and work well under pressure
  • Strong time management skills
  • Excellent communication skills, not afraid to ask questions
  • Hospital/Medical equipment knowledge a plus
  • FileMaker and/or Traverse proficiency a plus
  • Capable of standing/being on feet for the majority of the day
  • Capable of occasionally lifting items up to 25 pounds
