The Role

Reporting to the VP of Accounting & Controller, Accion Opportunity (AOF) is seeking a talented and experienced Payroll Manager to join our Finance & Accounting team. The hire will oversee the processing and reporting for all of payroll. It supports the Accounting Department by providing selected accounting procedures and month end support pertaining to payroll and benefits and by overseeing the processing of employee expense reimbursement requests and corporate card expense processing. It supports the Human Resource Department with a range of duties from collecting time sheets to researching various compliance matters regarding benefit taxation or worker’s compensation.

The ideal candidate will have at least five years of payroll processing experience, ideally including working with payroll and HRMS such as TriNet, Paylocity or other software; possess strong attention to detail; have a track record of handling confidential information in a professional manner; and will have the ability to think critically about policies and procedures in order to identify opportunities for improvement.

Key Responsibilities/ Accountabilities

Payroll Processing and Reporting | Bi-Monthly

  • Prepare semi-monthly payroll, including transfer of time sheet information and processing of commissions & bonuses.
  • Review timecard entry for payroll to ensure it is accurate.
  • Process manual check for employee missing hours and final payroll checks.
  • Setup new employees into the payroll system.
  • Audits Time & Attendance and Time Off system for hours worked manager & employee approvals & overtime.


Manage 403B

  • Prepares 403(b) contributions including semi-monthly entries into the Vanguard system.
  • Updates 403(b) employees’ contributions
  • Generates 403(b) annual compliance and tax returns reporting.
  • Prepares journal entry for payroll, section 125, and 403(b) contributions.
  • Updates salary allocation both in the payroll system and accounting system.


Quarterly or Annually

  • Provides salary reports required for the annual audit of financial statements and preparation of IRS informational returns.
  • Collaborates with Human Resources to complete payroll audits and other government mandated reporting requirements.
  • Identifies and makes the case for payroll process improvements and best practices to drive excellence and eliminate errors.
  • Work with Human Resources on the Worker’s compensation & 403b annual audits by providing necessary reports. 
  • Provides EDD reporting as need.

 

Accounting Support

  • Review and processes employee expense reimbursement requests, including collecting supporting information and manager’s approvals, to recording transactions in the accounting system.
  • Reviews and processes corporate credit card expenses, collects supporting documentation from employees, and ensures proper approvals have been provided, process recording in the accounting system.
  • Research and implement an automated system to process employees travel expenses to provide efficiency to the accounting department.
  • Participates with month closing procedures as requested by the VP of Accounting.
  • Other accounting duties as needed by the accounting department.

 

As Needed

  • Processes verifications of employment prior to 2021.
  • Resolves escalations by working with the payroll vendor in obtaining and understanding root cause analysis and corrective action for all complex or non-routine situations for all levels of employees and management.
  • Collaborates with Human Resources on various matters including but not limited to employee compensation, benefits and disability payments, and researching / understanding the proper taxation of employer paid benefits.
  • Creates special reports for cross functional teams as needed.

       

Other

  • Thinks critically about policies, procedures, and practices and proposes ways to increase efficiency of the department.
  • Understands and stays current with compliance requirements affecting payroll and benefits.
  • Understands and is alert to possibility of fraud, proposing ways to prevent and detect it as needed.
  • Collaborates with VP Accounting & Controller on annual audit preparation including creation and implementation of processes and schedules.
  • Other duties and responsibilities as may be required.


The Person

Highly qualified candidates will share Accion Opportunity Fund’s commitment to its mission and will embody the organization’s core values bringing a broad range of skills and experience including, but not limited to:

  • 5 + years hands-on experience processing payroll and benefits (experience with TriNet a plus)
  • 2 + years’ experience supporting or generating relevant annual / compliance reports pertaining to payroll and benefits.
  • Strong knowledge of and ability to generate reports from Microsoft Excel.
  • Demonstrated attention to detail.
  • Willingness and ability to learn quickly.
  • Ability to work with and handle confidential information in a professional manner.

  • Familiarity with accounting procedures and systems
