JOB TITLE: Digital Events and Education Coordinator

DEPARTMENT: Education Department

REPORTS TO: Vice President of Education

POSITION TYPE: Full-Time

LOCATION: Remote/Telecommute


JOB PURPOSE:

The Digital Events and Education Coordinator is responsible for the planning and coordination of virtual events. The primary objectives of this role are to ensure that all events are planned and coordinated effectively and efficiently, while also providing excellent customer service to members and other event participants. This position will also provide support to the development and distribution of ARMA’s online magazine and other online educational resources.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • This job is dynamic and often provides ad-hoc support to special programs in addition to the regular duties listed below:
  • Brainstorms and implements virtual event plans and concepts for webinars, meetings, and conferences.
  • Collaborates with other Team members on developing programming and securing speakers.
  • Plans and manages the virtual events calendar.
  • Conducts research and communicates with potential speakers regarding topics (particularly by monitoring member/community needs to ensure programming is relevant and supportive).
  • Coordinates all virtual event session logistics.
  • Assists the VP of Education, Director of Sales and Business Partner Development, and Marketing and Communications Coordinator with virtual event branding and communications.
  • Manages speakers’ needs, leading up to and during events (e.g., collecting speakers’ contact information and bio/headshots; coordinating prep calls; collecting presentations in advance; ensuring speakers meet established deadlines, etc.)
  • Monitors event progress and provides feedback to stakeholders in a timely manner.
  • Creates virtual event feedback surveys and develop post-event reports.
  • Stays up to date with the latest trends in digital event planning and management.
  • Supports the Editor and Publications Manager in soliciting contributors and compiling content for ARMA’s online magazine and other publications.
  • Manages communications with contributors and sets and enforces deadlines for content delivery.
  • Maintains and regularly updates educational content in ARMA’s Learning Management System.
  • Remains abreast of the Associations offerings, products, and services by reading e-newsletters and other materials sent to members.
  • Provides customer service/support for education department.


QUALIFICATIONS:

To perform this job successfully, an individual should have the following education, experience, competencies, and language skills:

Experience

  • In-depth knowledge of tools such as Zoom, GoToMeeting, GoToWebinar, Microsoft Teams, and other virtual event management platforms.
  • Two-four years of related customer service experience and/or training required.
  • Demonstrated experience in an event coordinator role preferred.
  • Experience working in an association role a plus.

Competencies

  • Solid working knowledge and experience with information systems, internet, and related tools and technologies, with demonstrated proficiency in Microsoft Office Suite.
  • Must exhibit a professional image, communicate clearly and professionally with customers and coworkers, and exhibit exceptional service attitude at all times.
  • Listens and responds effectively to customer questions and resolves customer problems within the parameters of the Association’s procedures and policies.
  • Ability to plan, prioritize and maintain workflow and overcome minor obstacles while working within established procedures as well as ability to adapt to changing conditions.
  • Requires strong attention to detail, with solid written and verbal communication skills.
  • Strong organizational skills with a high degree of accuracy while working in a fast-paced work setting are essential to success in this role.
  • Must be a self-starter with ability to work with general instructions with supervisory review for areas requiring new approaches or outside the individual’s base of knowledge.

  • While performing the duties of this job, the employee will typically work remotely. A laptop computer with remote access to office server will be made available for employee use. Remote work requires employee have access to secure internet connection.
  • Ability to travel overnight and work in a non-standard environment for approximately one week per year.
