Operations Coordinator  - Full Time / Remote

Position Summary

The Operations Coordinator will play a key role in supporting team-wide project management, change tracking, and communication to ensure seamless daily operations across ALPFA’s programs, infrastructure projects, and deliverables. By creating consistency and efficiency in day-to-day workflows through centralized project tracking, process updates, and template management, this role ensures smooth coordination and timely fulfillment of partner commitments. In addition to overseeing cross-departmental operations, the Operations Coordinator is responsible for enhancing the operational flow across teams, supporting both regional and national events, and preparing for automation to drive organizational growth and member engagement.

First 3-6 Months Post-Onboarding:

  • Transition manual deliverable assignment from Salesforce to Monday.com to streamline operations.

  • Achieve a 100% fulfillment rate for all deliverables, including voucher codes and job board codes.

  • Provide essential on-site support for conventions and events as required, contributing to effective event operations.

  • Track and report progress on Cvent-managed events, focusing on registration and session updates to ensure accurate reporting.

  • Maintain and update SOPs while proposing at least one process improvement initiative to enhance efficiency.

 

First Year and Beyond:

 

  • Successfully transition deliverable assignment from manual processes to an automated system by Q1, reducing the need for manual tracking.

  • Collaborate on the process standardization project, focusing on SOP creation and workflow optimization to drive operational consistency.

  • Reduce fulfillment delays through improved coordination and consistent reporting, enhancing service levels across departments.

  • Contribute to building a regional event support model that leverages volunteers and contractors, expanding event support capabilities.

  • Shift focus to larger operational projects, leveraging time saved by automation to support strategic initiatives that enhance overall efficiency and impact.

Core Responsibilities

 

Project Management and Operational Support

  • Manual Deliverable Assignment: Assign deliverables in Monday.com based on Salesforce entries until automation is implemented.

  • Volunteer Deliverables: Fulfill deliverables outlined in chapter volunteer agreements to support local chapter needs.

  • Logistics Guide Distribution: Distribute convention and event logistics guides with inputs from relevant departments.

  • Cvent and Event Support: Manage Cvent updates and tasks, including session, speaker, and exhibitor/attendee hub updates. Provide on-site convention support to handle registration, transfer, and substitution requests for seamless event operations.

  • Regional Event Registration and Process Support: Coordinate technical support for regional events by collaborating with contractors and volunteers to manage the event registration system and ensure consistent process adherence across events.

  • Platform Management: Oversee daily operations in Monday.com to ensure project prioritization, progress, and deliverables are met across the team.

 

Process Standardization and Documentation

  • Documentation and SOP Maintenance: Maintain and update SOPs, workflows, and templates, proposing process improvements to enhance efficiency.

  • Dashboard Reporting: Track and report status updates for dashboard reviews, providing timely inputs during weekly meetings.

  • SOP and Template Updates: Regularly update SOPs in Trainual to ensure clear, accessible resources for all teams across national, regional, and local levels.

  • Tool Management and Integration: Oversee and standardize organization across Google Drive, Slack, Trainual, and Loom to streamline workflows.

 

Cross-Departmental Coordination and Collaboration

  • Meeting Coordination: Coordinate cross-departmental project meetings, set agendas, and document action items to ensure alignment and accountability.

  • Communication Streamlining: Facilitate effective communication channels, processes, and tools to improve cross-team collaboration and enhance day-to-day workflow.

  • Operations Intake and Queue Management: Manage the intake of operational requests, ensuring timely response and resolution, and organize reporting and documentation to track progress and improvements.

Basic Qualifications

Education and Experience

  • Bachelor’s degree in Business Administration, Operations, or related field, or equivalent experience.

  • 2-5 years of experience in operations, project management, or event management.

  • Experience in non-profits, associations, or membership-driven organizations preferred.

Technical Skills

  • Proficiency with Monday.com and Cvent (or similar project and event management platforms).

  • Basic technical understanding for queue tracking and supporting Cvent operations.

  • Experience with Salesforce or similar CRM platforms.

  • Familiarity with membership models, job board operations, and Stripe payment systems for membership or event-related transactions.

Preferred Attributes

  • Certification in Monday.com or Cvent (preferred but not required).

  • Experience working with volunteers or chapter-based organizations.

  • Knowledge of automation tools or experience in process improvement projects.

  • Event coordination experience for both on-site and virtual events.

Salary & Compensation

 

Base Salary: The position offers a competitive starting salary of $60,000 - $70,000
