Role: Executive Business Partner (Assistant to the CEO)

Reports to: CEO

Location: San Jose, CA

Job Summary:

We are looking for a sharp, detail-oriented Executive Business Partner to provide dedicated support to our CEO. You will have cooperative responsibility for her communications, analyze priorities in real time, assist with and oversee planning, and have complete ownership of her calendars, travel, and expenses. You will be a go-to resource for the team, ensuring the company is on-path with the CEO’s roadmap, escalating urgent matters. You will work closely with the Executive Leadership Team (ELT) and VP of People to coordinate across functional groups, all while keeping a good pulse on the organization's health and morale.

You will be working in a fast-paced startup environment with passionate team members who are focused on velocity, quality of results, and execution excellence.

This position is based in San Jose, CA and requires 25% travel. Note: Due to COVID-19, travel is temporarily limited.



  • On behalf of the CEO, help her build great relationships with internal stakeholders and external contacts

  • Serve as a proxy for the CEO in operations not requiring her direct involvement

  • Manage email and other communications for the CEO, such as drafting key memos to internal/external stakeholders, including investor updates, and company announcements

  • Maintain and coordinate strategic workflow, targets, and correspondence threads with investors, partners, and customers

  • Interpret customer and employee communications. You must distill details and manage key action items and timeline


  • Create agendas for executive leadership team meetings and planning sessions, attend meetings and drive agenda, as well as follow up on action items

  • Own various group-wide meetings, managing agendas, and track outcomes (e.g., company All-Hands, etc.)

  • Assemble and prepare Board of Director materials. Be involved in high priority project work, dependent on organizational needs

  • Consolidate and create slide decks using Google Slides on a weekly basis.

  • Coordinate with leaders cross-functionally (e.g., ELT and VP of People, etc.) on company-wide projects, initiatives, and events and project manage initiatives that otherwise lack an owner and transition those projects to other members of the leadership team where applicable. 

  • Manage a cycle of strategic planning, goal setting, and progress tracking

  • Partner with CFO to assist with organizational planning/budgeting. 


  • Manage, own, and execute all aspects of the CEO’s calendars and schedule, including calls, appointments, meetings, arrange travel plans, itineraries and agendas. Provide critical updates in a professional and timely manner

  • Manage and reconcile expense reports 

  • Protect the CEO's time in an effort to maximize allocation towards high leverage initiatives & matters. 

  • Organize the CEO’s time by reading, researching, and routing correspondence: drafting letters and documents; collecting and analyzing information; initiating communications

  • Take a wide variety of tasks off of the CEO’s hands, extending her bandwidth

  • Assist with ad-hoc special projects to help the overall business needs

  • Be a partner to other executive and administrative assistants and collaborate as needed on company-wide projects and events

  • Assist with ad-hoc needs in the office


  • 5+ years experience as a Business Partner, Executive Assistant, or Chief of Staff supporting CEO or other C-level executives

  • BA/BS or equivalent experience 

  • Strong Google Suite and Microsoft Office, video conferencing (e.g., Google Meet and Zoom, etc.), and e-mail/calendar skills

  • You should have startup or early stage rapid scaling experience

  • Proven good judgement handling critical and confidential matters

  • Ability to maintain confidentiality, composure and sense of humor in high-pressure situations

  • Skilled in moving quickly and making on-the-spot decisions without sacrificing attention to detail

  • Expertise in juggling multiple projects and priorities at once

  • Ability to take action without being asked, while also understanding when it is necessary to get guidance

  • Proven track record of consistently going above and beyond

  • Exceptional communication skills and the ability to work effectively with a spectrum of personalities

  • Receptive to and encouraging of receiving constructive feedback
