JOB TITLE: Gracehaven House Manager

Supervisor: Director, Residential Services

GOAL: To oversee a Gracehaven home, including the staff and youth residents by providing high quality, trauma-informed care to the youth, and maintaining the environment and structure of the group home.

KEY OBJECTIVES:

  • Leadership, Management and Accountability for the staff team
  • Responsible for managing the culture of the group home and creating an environment that is stable, safe and positive
  • Responsible to oversee the day-to-day tasks and activities
  • Responsible for working with the Director of Residential Services to implement programmatic services to the residents, training new staff and attending staffing
  • Responsible for overseeing and scheduling the volunteers assigned to her home
  • Responsible for being on the on-call Residential Assistant rotation
  • Responsible to work two shifts as a Residential Assistant each week
  • Responsible to fulfill COYFC and Gracehaven spiritual responsibilities


Specific Duties:

Responsibilities include, but are not limited to, the following:

Intake of New Residents:

  • Coordinate with placement agency date and details of placement and be there to welcome residents, inventory their things and review paperwork with placement agency
  • Create and implement one-week schedule
  • Create a binder immediately with resident's name and put in a locked file cabinet


Gracehaven House Team LMA

  • Ensure that each role has a current job description, training plan, written policies and procedures and annual performance metrics and is in compliance with organizational template
  • Ensure upcoming fiscal year performance goals are set on May 1 for each role and for each team member
  • Ensure annual reviews are done for each staff person including progress against performance metrics and training goals
  • Ensure all staff are supervised at least twice monthly
  • Provide support and coaching for staff experiencing challenging shifts
  • Develop and manage volunteers for specific events or tasks as needed
  • Ensure all annual team responsibilities are achieved with excellence and continuous improvement
  • Ensure strategic plan objectives are achieved that relate to this department


Leadership of the House Culture

  • Ensure physical and emotional safety for residents
  • Proactively focus the team on creating a positive, encouraging attitudinal environment
  • Coach staff on effectively responding to youth whose behavior or attitudes are negatively impacting the house culture
  • Celebrate achievements and positive progress of youth
  • Communicate consequences as restorative responses instead of retribution


House Maintenance

  • Facilitate weekly house meetings with residents
  • Oversee allowance spending
  • Create weekend outings schedule
  • Oversee evening activities
  • Ensure cleanliness of the home
  • Develop a meal plan for the house
  • Ensure that groceries are purchased in a timely manner to support the plan
  • Ensure that medicates are given to each resident as required. Review the MAR sheet, order refills and pick up needed medications from the pharmacy
  • Every month discard expired or unused medications appropriately
  • Schedule to spend vouchers and inventory residents' clothes to assess clothing needs
  • Cover shifts when there is an emergency and extra help is needed and no other staff are able to come in
  • Coordinate with the clinical team to schedule service
  • Oversee stamp chart and incentives
  • Submit Critical Incident Reports within 24 hours of incident per ODJFS standards
  • Oversee birthdays and graduations
  • Oversee transportation needs for residents' appointments and family visits in conjunction with the Gracehaven Case Manager


Programmatic Support

  • Assist with new hire trainings - train on documentation and house rules
  • Shadow a new staff member within her first 60 days on the floor
  • Attend staffings of the youth in designated home
  • Lead by example by attending staff meetings and participating in corporate prayer
  • Meeting goal of having 4 guests at See the Story/Be the Story each year 
  • Participate in professional development trainings
  • Keep in compliance with Aegis and ODJFS policies 


Oversee Group Home Volunteers

  • Ensure that volunteers are successfully onboarded and trained, as well as provided adequate feedback
  • Maintain and implement the volunteer schedule for the house
  • Meet monthly with volunteers as a support and to educate
  • Look for ways to grow volunteers in their vision for this work


On-Call Rotation 

  • Participate in the on-call rotation, taking a week of on-call when it is her turn
  • Provide crisis management, verbal de-escalation and safety planning to mitigate risk
  • Participate in a 24/7 on-call and Human Trafficking Hotline coverage rotation for 1 week every 6-8 weeks
  • Review the On-Call File Resident Sheets weekly and ensure that the information is accurate and up-to-date


Spiritual Responsibilities

  • Articulate and uphold COYFC religious beliefs and practices at work and outside of work. Each employee serves to represent the religious message and mission of COYFC (as outlined in the Statement of Faith and Mission) to the broader community
  • Be ready and willing to lead and contribute to distinctly Christian activities
  • Be prepared to hold spiritual conversations with youth as they show interest or initiate spiritual discussions
  • Seek God's guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives
  • Only if asked, be able to share the reason for your faith with youth that are seeking spiritual guidance in the group home
  • Be prepared to be a pastoral guide to Resident Assistants as they deal with second-hand trauma in the group home


Minimum Qualifications

  • Minimum of an Associate degree (2 year degree) required; Bachelor's degree in social work or related field preferred
  • Team leadership experience required
  • Experience working with youth required, preferably youth in a trauma - related field
  • Experience in a group home setting preferred
  • Strong organizational and relational skills required


Hours: Full-time hours (40 hours/week)
