Job Description

BaseCap is looking for an Executive Assistant to provide administrative and operational support for our executive team. As a critical member of the executive team, this person will be responsible for providing administrative support to the CEO, COO, and CFO. This role will be the primary point of contact for internal and external stakeholders on all matters pertaining to the executive office. The ideal candidate will have a high level of attention to detail, exceptional organizational skills, and the ability to think proactively and anticipate the needs of the C-suite.


  • Provide high-level administrative support to the C-suite, including managing calendars, scheduling, and coordinating travel arrangements
  • Act as the primary point of contact for the C-suite, managing correspondence, and fielding inquiries from internal and external stakeholders Prepare and edit internal and external communications, including presentations, reports, and other materials
  • Coordinate internal and external meetings: team meetings, all hands, board meetings, interviews, off-sites etc
  • Coordinate all travel arrangements for C-suite, including: processing travel requests/changes, confirming reservations, compiling directions/itineraries, etc. Handle all expense reimbursement for the executive team
  • Assist with meeting preparation and slides, take notes, prepare follow-up and action items Keep executive focused on priorities on a daily, monthly, quarterly basis: evaluating how they are spending their time, creating better efficiencies of information flow and time management
  • Collaborate amongst various roles within the company on special projects, such as recruiting, onboarding, event planning, etc


  • 3+ years of experience as an executive assistant or similar role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Mastery of calendar and email organization with great attention to detail
  • Proven ability to work effectively in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Familiarity with O365, including Teams and SharePoint
  • Experience working with a CEO or other senior executive is preferred
  • Strong interpersonal skills and the ability to work well with all levels of internal and external stakeholders
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Ability to prioritize and handle multiple work streams simultaneously


This position is based in the NY area. Most day-to-day work can be done remotely, but the Executive Assistant will need to be in the local area to occasionally coordinate in-person meetings and events or perform tasks in our HQ office.
