Executive Administrator: HR, Morale & CEO Assistance (Semi-Remote OK)
MJBiz, since 2011 the award-winning business news publisher and trade show producer for cannabis industry professionals, is seeking an Executive Administrator to help our team of 50+ staff across the US and Canada flourish. This position reports directly to the CEO, with a dotted line to the COO, and is the central person for HR admin, staff morale and (light) office management, as well as assisting the CEO with his scheduling.
This fulltime, 40-hour week position can be largely remote, as you would only be required to be physically in our brick-and-mortar offices in Lakewood CO mid-day on Wednesdays and Fridays. This role includes full benefits such as healthcare, 401k and a flexible vacation plan.
This role is perfect for someone who is both outgoing and highly organized – a people person who is great at paperwork. You will handle four main areas:
1. HR Administration
Assist with posting job openings to job boards and an initial round of sifting through incoming applications. Handle routine HR-administration and updates via the TriNet system which provides payroll, healthcare and other benefits for our staff. Create org charts and contact lists. Make sure everyone provides their paperwork. Be available to teammates to answer basic HR-related questions. Help onboard new employees.
2. Staff Morale
Our team of 50+ are across the US and Canada, but we work closely together online and value a friendly culture. You would support the CEO’s ‘weekly wins’ and monthly ‘cake day’ celebrations of the team’s achievements. Help with staff appreciation gifts and team get-togethers. Administer our staff rewards program. Keep up with the team on our internal message boards. Coordinate with our Diversity & Inclusion Committee.
3. CEO’s Calendar and Travel
Help our busy CEO juggle a full calendar of press interviews, speeches, client calls and internal meetings, some of which you’ll also help him plan travel for. Set up appointments for some calls with his key contacts. Occasionally organize on-site meetings.
4. (Light) Office Management
Drop by our brick-and-mortar offices in Lakewood CO twice a week (preferably Wednesdays and Fridays mid-day) to check mail, plants, general tidiness and coordinate with the cleaning crew and landlord on any needed fixes. Only a few of our staff routinely work from the offices but we want to be sure it’s a pleasant and inviting place.
• 5-7 years in a relevant administrative position in HR and/or the executive suite.
• Highly organized and skilled at managing multiple initiatives
• Fluency in standard Microsoft software – Powerpoint, Excel, Outlook required; MS Teams and Sharepoint preferred.
• Excellent communication skills, both written and verbal, including grammar and punctuation
• Ability to work independently, think critically, and problem-solve
• Ability to wear multiple hats and enjoy the daily change of pace for each
• Be an out-going people person who cares about the team
• Experience handling confidential or sensitive information
• College degree preferred
Depending on experience, the salary range for this role is $65-70k plus healthcare, flexible vacation, and 401k. You must be able to commute to Lakewood CO at least twice a week and be able to travel if needed to assist at our annual trade show in Las Vegas.
