Reporting directly to the Chief Executive Officer, The Executive and Office Administrator is responsible for providing comprehensive support and managing administrative operations for the IONNA Leadership Team, and staff as required. Here's your chance to make an indelible mark on our rising venture as it creates new categories where travel, energy, charging, hardware/software/hyper-local experiences define the future of charging.
Responsibilities

Provide highly competent administrative support to the Leadership team at IONNA, including:

Arrange domestic and international business travel, including air, hotel, and ground travel.

Assisting business/business managers in all business-relevant administration tasks, such as conducting research, compiling, verifying the information, and creating special reports, presentations, organization charts, correspondence, and other relevant documents.

Serve as Office Manager, including:
-
Communicate policies regarding office space and visits and manage the flow of guests in the office.

Manage utilities and services for the office, including ordering of supplies

Manage relationships with vendors, service providers, and landlord for the office space
-
Partner with IT to manage facilities and tech needs, ensuring conference rooms are properly set up with necessary supplies and ready for meetings throughout the day.

Serve as Staff Administrator, including
-
Coordinate the onboarding process for new hires including equipment ordering, access to IONNA facilities, background checks, etc.

Plan meetings and events; select event facilities, coordinate catering, and technical equipment as needed.

Manage the company’s corporate credit card ensuring invoices are submitted and paid on time.

Skills and Experience

Bachelors or Associates degree preferred

Minimum of 5 years of experience in an executive administrative role

Ability to handle multiple tasks and prioritize effectively

Proactive and resourceful approach to problem-solving

Experience and interest in planning team building activities and department events

Strong organizational and time management skills

Excellent communication and interpersonal skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
