JOB TITLE: ACCOUNTING ASSOCIATE

Supervisor: Finance Director

Hours: Full-time, 40 hours/week

FLSA Status: Non-exempt

GOAL: To advance the mission and vision of Central Ohio Youth for Christ by assisting the Finance Director to ensure day-to-day financial operations of COYFC, subsidiaries and affiliates are recorded and managed with accuracy and integrity.

KEY OBJECTIVES: 

  • Assume primary responsibility for month-to-month bookkeeping tasks
  • Support Finance Director with seasonal projects (Audit, Budgeting, etc.) as required
  • Oversee reporting functions
  • Responsible to maintain accurate data across multiple databases and drives, and an intuitive and up-to-date filing system for documents
  • Maintain up-to-date policy and procedure manual for this role
  • Actively embrace spiritual commitments and responsibilities


MAJOR RESPONSIBILITIES

The Accounting Assistant responsibilities include but are not limited to the following:

Monthly Accounting

  • Ensure deposits, payables and receivables are entered into QuickBooks in a timely manner
  • Ensure payroll is entered into QuickBooks in a timely manner
  • Review and approve expense logs and enter into QuickBooks
  • Assist with monthly, quarterly and annual closing checklists as required
  • Complete bank statement reconciliation and credit card reconciliation monthly
  • Complete monthly reconciliation between Donor Perfect and QuickBooks
  • Communicate between vendors and staff regarding communication gaps related to payables or receivables


Seasonal Projects Support 

  • Support Finance Director during audits as needed
  • Support Finance Director during cost report submissions as needed
  • Support Finance Director during budgeting as needed
  • Support Finance Director during fiscal year end closing and new fiscal year setup


Reporting

  • Generate monthly reports per schedules
  • Generate ad hoc reports as needed
  • General grant tracking reports as needed
  • Helping with ongoing questions or clarifications as needed


Data Integrity and Filing System

  • Ensure data being stored in multiple software systems is being accurately transferred to QuickBooks
  • Ensure that scanned data and internal reporting being stored on cloud drives is up to date and intuitive for other users
  • Ensure document filing system for financial documents is up to date and intuitive for other users


Policy and Procedure

  • Review policy and procedure with Finance Director quarterly
  • Complete each task assigned in compliance with the organization's accounting, HR and payroll policies, procedures, and internal controls
  • Incorporate new policies, procedures and internal control recommendations from Finance Director into the existing position handbook
  • Maintain up to date checklists for this role for monthly, quarterly, and annual closings


General Staff Duties

  • Attend COYFC all-staff meetings
  • Assist in chapter-wide fundraising efforts by inviting minimum of 2 guests to See the Story tours and/or the Be the Story annual luncheon event

PREFERRED QUALIFICATIONS

Skills and Qualifications:

  • Associate or Bachelor's degree in accounting, business, finance, or related fields
  • Preferred knowledge and practical experience of HR/payroll policies and tax laws
  • Experience in QuickBooks is preferable
  • Administrative and organizational orientation and gifting
  • Strong time management and ability to solve problems
  • Experience and skill with Microsoft Excel, databases, internet, email, etc.
  • Strong interpersonal communication skills
  • Demonstrated attention to detail
  • Ability to carry out routine tasks and additional projects as needed
  • Share a personal burden for and missional commitment to our mission
