Primary Objectives of Position
Maintain chassis operations processes, workflows, communications, data, analysis, metrics, and reports. Support both Field and HQ operations teams with timely responses to inquiries related to accidents, claims, tow & impound, and safety-related matters. Coordinate with Finance, Fleet Admin, and Customer Support regarding the Casualty Value (CV) invoice process. Provide support to other functional areas including Risk Management, Fleet Operations, Pool Operations, Customer Support, Finance, and Sales with data, information, analysis, and process guidance.
Major Duties & Responsibilities
Tow-Impound chassis
- Assist in monitoring and processing tow and impound notifications and create recovery plans for all FlexiVan assets
- Coordinate with various departments to ensure timely payment of tow/impound fees to facilities
- Coordinate with Fleet Operations and Customer Support to ensure timely retrieval of units to avoid asset loss via lien sale
- Other related duties as assigned.
Lost and Stolen processing
- Use any available information to identify potentially lost or stolen equipment and create an action plan to address
- Identify and seek correction action against lost assets by working with fleet operations to retrieve the assets, coordinate with Customer Service to contact the customer, and/or issue a Casualty Value invoice to financially recover the lost equipment
- Maintain lost assets network-wide within company targets by keeping track of lost assets, working with IT and Field Operations to place equipment holds when needed, and providing visibility for equipment write-offs if required
- Assist in developing and executing lost asset mitigation plans to minimize future incidents with Field Operations and limit lost asset risk for HQ
- Coordinate with Customer Support, Field Ops, and Chassis Operations to assist with the retrieval of units
- Provide recommendations to escalate corrective action against customers, vendors, 3rd parties that misuse equipment against company policies
- Track recovery of lost, stolen, impounded chassis and provide regular reporting to management
- Execute casualty value invoices as applicable to customers, vendors, or 3rd parties in accordance with company policies
- Ensure lost, stolen, impounded chassis are reconciled, identified, and tracked accurately/timely to meet company targets
- Other related duties as assigned.
Casualty Value (CV) Management Process
- Assist in managing the company’s casualty value process including responding to inquiries, creating invoices, initiating paid recovery process
- Collaborate with other departments (e.g. Technical Services, Finance and Operations) to establish, calculate, and issue CV invoices and track disputed and paid invoices
Job Specifications
Minimum Education / Qualifications
· High school or equivalent
Minimum Years of Relevant Experience
· 2+ years of working experience in transportation/shipping operations, credit and collections, or other administrative role
Mandatory Technical Skills
· Microsoft Excel – ability to create worksheets, charts/graphs, data tables, pivot tables
· Office 365 suite – Excel, Word, PowerPoint, Outlook, Access, SharePoint
· PowerPoint – ability to create PowerPoint slides, insert graphics/images/shapes, animate slides
Other Preferred Skills:
· Degree in Business, Supply Chain Management, or Finance
· Prior working experience in the Intermodal/Shipping/Transportation/Logistics domain
