Primary Objectives of Position

 

Manager, Fleet Administration will lead the team responsible for detailed administration of the Chassis fleet, to include chassis title and registration management, fleet and trucker files, data integrity and chassis billing.  Manager will develop, implement, and maintain standardized chassis administrative processes, workflows, communications, data, analysis, metrics and reports, while controlling billing within the chassis network.

 

Manager will liaise with Field Operations, and HQ Operations and Finance teams with timely reporting of fleet administration parameters, identify administrative challenges and opportunities, develop, communicate and implement plans to accurately represent fleet location and disposition, and ensure timely and accurate billing for chassis usage.


Major Duties & Responsibilities


Chassis Administration


a)    Lead team to record and maintain a complete and accurate chassis fleet file


b)    Maintain complete and accurate equipment files with up-to-date title and registration


c)     Develop, gather, record, analyze chassis data for tracking chassis location and status


d)    Maintain current and complete equipment details within Global Intermodal Equipment Registry (GIER)


e)    Establish and maintain motor carrier files


f)      Ensure all motor carriers are capable to receive electronic billing


g)    Reconcile Flexi motor carrier files with UIIA files for same


h)    Ensure continuous connectivity with depots through EDI


i)      Validate billing data, execute pool and lease billing, resolve disputes and report on same


j)      Collaborate with functional areas including Business Intelligence, IT, Finance, and Commercial


Vendor Management


a)    Develop and maintain strong and productive relationships with vendors


b)    Manage the exchange of electronic information to include interchange transactions, maintenance and repair activities, billing


c)     Conduct audits of transaction quality, billing accuracy, and other related items in line with service level agreements


Data Integrity


a)    Monitor data integrity related to on-hire, off-hire and interchange transactions (e.g. validate gate transactions, manage exceptions, correct errors)


b)    Resolve all data integrity issues timely


Regulatory Compliance


a)    Monitor regulatory inspection


b)    Provide current registration for equipment and maintain electronic version within equipment record


c)     Develop and maintain compliance data and reporting


Operational and customer reporting


a)    Maintain master matrix of all cost factors to be considered by location/pool, including drays, storage, maintenance and repair, gate fees, etc.


b)    Ensure accurate and timely data gathering, data integrity, analysis, billing and reporting


KPI and performance metrics


a)    Produce required metrics related to utilization, performance, data integrity, cost and billing

Job Specifications


 Minimum Education / Qualifications


·         Bachelor’s Degree preferred


 

Minimum Years of Relevant Experience


·         5 years of working experience in logistics, transportation or supply chain


·         Supervisory experience preferred


 Mandatory Technical Skills


·         Office 365 suite – Excel, Word, PowerPoint, Outlook, Access, SharePoint


·         Microsoft Excel – ability to create worksheets, charts/graphs, data tables, pivot tables


·         PowerPoint – ability to create PowerPoint slides, insert graphics/images/shapes, animate slides


 Other Preferred Skills:


·         Prior working experience in GPS technologies


·         Prior working experience in Intermodal/Shipping domain
