THE WELL New York
Adjacent to Union Square Park and just steps away from Fifth Avenue, THE WELL New York is an integrated wellness center in the heart of New York City. The 13,000-square-foot space brings together modern medicine and ancient healing practices that focus on whole-person health. The brand’s flagship location includes a full-service spa (featuring a steam room, dry and infrared saunas, as well as treatment rooms for bodywork and skin care), a functional medicine practice and health coaching, Chinese medicine and acupuncture, an organic wellness café, yoga and meditation studios, a foot rub and IV therapy lounge and an innovative posture lab. The Role
We are seeking an experienced and passionate Event Production Coordinator for THE WELL New York. If you have a passion for production coordination, a strong desire to work in a fast paced environment, and are looking for a new and exciting career opportunity we want to hear from you. The Event Production Coordinator plays a vital role in offering exceptional customer experience to our clients, while keeping event details organized for our operations and culinary teams. This position requires professionalism and elevated urgency to assist with the production of  private events at THE WELL. In this role, the Event Production Coordinator will be responsible for overseeing Day of Event production and is required to be on site for all events. 

Admin Responsibilities

  • Support Event Sales Manager to organize and execute event details with internal teams, F&B and Operations.  
  • Support all aspects of event production leading up to the event, keeping Run of Show up to date - e.g. coordinate storage, staffing, logistics, layout, and F&B placement.  
  • Liaison between internal teams.  
  • Respond to guest inquiries by email/phone.   
  • Other duties as assigned.

On Site Production

  • Greet clients and assist vendors and provide an exceptional client services experience. 
  • Support set-up and breakdown of the space, move furniture, etc.
  • Assist with all guest related needs and proactively solve issues that may arise during the event. 
  • Maintain an accurate billing of incidentals which may incur on the day of the event, e.g. additional F&B or services. 
  • Ensure smooth and consistent event operations.

The Person We Need

  • Flexibility with schedule based on needs of the clients and vendors. Must be available Tuesday-Thursday. 
  • Must have hospitality experience 
  • General knowledge of banquet food service standards and techniques. 
  • Ability to work in a fast paced environment.  
  • Must possess excellent communication skills, both verbal and written.  
  • Exceptional time management and organizational skills. 
  • Proficient experience with Microsoft Office and TripleSeat. 
  • Ability to stand for long periods of time, bend, stoop, turn, lift, walk, and carry and lift up to fifty (50) pounds.
