The person in this role must be incredibly trustworthy, extremely organized, enjoy having many projects and tasks coming at you at once, and not be bothered by interruptions. We are looking for an Executive Assistant who is independent and proactive, while also understanding the importance of working as a collaborative team. The person in this role will need to be a data-driven, analytical problem solver. Lastly, this individual must thrive at getting things done, and getting them done right. The Executive Assistant will be integral to ensuring the three Partners have the resources and support they need to succeed. This position is in our company headquarters in Dallas, Texas.

Responsibilities:

• Assist three Partners in managing individual and company-level projects by helping them prioritize incoming and existing obligations, managing long-term goals and near-term deliverables, watching deadlines, monitoring the status of each project, and following up with responsible parties.

• Maintain calendars and travel schedules, as well as coordinate meetings, conferences, events, and speaking engagements

• Arrange professional travel and logistics, coordinating with accompanying team members

• Execute expense reporting, reconciliation, and reimbursement

• Organize and maintain paper and electronic file systems in accordance with policies

• Draft correspondence, maintain distribution lists and run email merges for bulk communications

• Maintain and organize contacts and password databases

• Proof, print and bind pitch books and presentations

• Provide personal support as needed

• Manage a variety of special projects as requested

Qualifications:

• 4-year undergraduate degree plus at least 5 years of professional experience is a must unless there is at least 10 years’ experience as an EA supporting C-suite level executives

• Work experience in the finance or legal sectors is a plus

• A high level of proficiency in Word and PowerPoint and a basic level of proficiency in Excel is a must
