Sycamore is seeking an experienced office manager that desires to join a small but growing investment manager. Sycamore’s office manager will need to be comfortable juggling many projects and tasks, driven by a desire to complete those projects and tasks in a timely manner, energized by daily work variety and a fast-paced environment, and not being micro-managed while also understanding the importance of working as a collaborative team. This individual will need to have strong interpersonal skills and be able to productively interact with all levels of the firm, different departments, as well as external vendors and clients. The office manager will be integral in the smooth operation of nearly every area of the firm from an administrative and coordination perspective. This position is in our company headquarters in Dallas, Texas.

Office Manager Job Responsibilities:

·        Manage all office equipment leasing relationships and billing.

·        Work with the property manager on all building-related activities.

·        Review building-related variable expenses from the landlord each month.

·        Budget and monitor all vendor relationships owned by the office manager. Prepare an annual budget for those vendors, schedule expenditures, analyze variances, and recommend corrective actions. Perform annual vendor reviews that include finding alternative vendor relationships, performing due diligence, and negotiating contracts.

·        Assist in managing the outsourced IT vendor.

·        Assist in marketing and investor relations activities.

·        Assist with talent management which could include recruiting, onboarding, offboarding, payroll, benefits, and other activities.

·        Assist with certain administrative elements of operational risk: cyber security, physical security, business continuity, compliance, etc.

·        Manage the selection and purchase of office supplies and monitor current inventory.

·        Handle meal catering relationships, logistics and billing.

·        Receive guests and host them during their visit in our office.

·        Handle physical document storage, retention, and destruction per the document retention policy.

·        Manage the housekeeping vendor and take the lead on the upkeep of the office space.

·        Receive, sort and distribute mail and packages. Handle outbound mail and packages.

·        Assist in in writing all policies and procedures related to the office manager job duties.

·        Organize office activities and events.

·        Perform ad hoc project management, executive reporting and other projects as needed.

 

Qualifications

·        A 4-year undergraduate degree

·        A minimum of 5 years of office manager, executive assistant, or similar administrative experience and overall work experience of at least 8 years

·        Should be proficient in Microsoft Office Suite applications and be able to demonstrate this proficiency

·        Should have experience with vendor management, reviewing and paying invoices, and budgeting vendor expenses

·        Experience working in or around human resources activities is a plus

·        Work experience in the finance or legal sectors is a plus
