What is This Position About?

 

The Client Services Assistant is responsible for supporting the Proposal and Capture Team in the administrative aspects of managing clients, preparing proposal packages, and ensuring proper follow through of internal processes and documentation. He or she will have their hand in various aspects of the Proposal and Capture Team tasks and processes, including drafting proposal supporting documents, organizing, and maintaining both internal and external files, and managing client contract award statuses. Additionally, he or she will be responsible for data handling, meeting note taking, data entry, and assisting Proposal and Capture management in the research and reporting of data.

What Will You Be Responsible For?

 

·        Draft supporting document for client proposal packages in accordance with Company best practices

 

·        Organize and maintain Capture and Proposal related documents, files, and folders

 

·        Handle client Huddle workspace management

 

·        Assist in communications with clients in a professional manner, including following up on the status of missing information and documents

 

·        Manage contract award statuses and ensure communication of updates related to contract awards

 

·        Send documents for signature

 

·        Assist with Wide Area Workflow (WAWF) invoicing

 

·        Upload content to training portal

 

·        Take detailed notes during meetings, webinars, and virtual events to share with the team

 

·        Provide support in researching and reporting on data metrics

 

·        Assist management with updating task management boards

 

·        Data entry and CRM management/upkeep

 

·        Other duties as assigned

 

 

What Qualifications Do You Need?

 

·        Minimum of 3 years of administrative experience

 

·        Associate degree required, Bachelor's degree preferred

 

·        Strong administrative background and skills

 

·        Highest level of attention to detail

 

·        Outstanding organizational abilities

 

·        Friendly disposition with the ability to be persistent with all follow up communications

 

·        Excellent written and oral communication skills

 

·        Ability to work with teams and individuals of varying working styles

 

·        Demonstrated sense of responsibility and ability to work independently

 

·        Strong time management skills with the ability to prioritize multiple competing requests and deadlines simultaneously

 

·        Ability to handle repetitive tasks

 

·        Proficient in MS Office Suite (Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat

 

·        Growth mindset and adaptability to keep up with frequently changing industry
