What is This Position About?

The Executive Assistant will be responsible for assisting the CEO and the Chief of Staff in carrying out all administrative and miscellaneous tasks. This includes managing calendars and email inboxes, setting up meetings/appointments, organizing files, maintaining records, data entry, scheduling travel, conducting research on various topics, and other related Executive Assistant tasks, as assigned. The Executive Assistant will play a key role in maximizing the Executive Team’s time and will be in charge of handling clerical tasks and prioritizing correspondence, allowing the Executive Team to focus on decision-making and high-level company responsibilities.

What Will You Be Responsible For?

●        Provide strategic and administrative support to the Executive Team

●        Maintain the Executive Team’s appointment schedules and calendars, prioritizing the most sensitive matters

●        Maintain list of priorities for the Executive Team

●        Manage the Executive Team’s time with respect to priorities, goals, and objectives

●        Research information and assist in the compilation of data for reports

●        Plan, organize, and schedule meetings

●        Coordinate travel arrangements, including the booking of hotels and flights

●        Manage email communications by reading, researching, and routing correspondence

●        Draft documents

●        Organize files

●        Maintain comprehensive and accurate records

●        Research, collect, and analyze information and data

●        Data entry

●        Other duties as assigned


What Qualifications Do You Need?

●        Minimum 3 years of Executive Assistant experience required

●        H.S. Diploma or Equivalent

●        Associate degree preferred

●        Strong administrative background and skills

●        Experience supporting a growing team that functions at a fast pace

●        Excellent written and oral communication skills

●        Ability to treat confidential information with appropriate discretion

●        Ability to act as gatekeeper and escalate relevant information as necessary

●        Excellent calendar management skills

●        Strong interpersonal skills

●        Demonstrated sense of responsibility and ability to work independently

●        Outstanding organizational abilities

●        Exceptional attention to detail and follow-up

●        Excellent computer skills

●        Proficiency utilizing Microsoft Office programs

●        Ability to remain calm and composed under pressure

●        Growth mindset and adaptability to keep up with a frequently changing industry
