THIS IS A REMOTE POSITION (MUST LIVE IN AND BE AUTHORIZED TO WORK IN THE USA OR CANADA)    


PGP (The Public Good Projects) is seeking a full-time non-traditional Executive Assistant to support and liaise for a special project. This will be chiefly responsible for supporting contractors, tracking external deliverables, and communicating with internal stakeholders, as needed. This position is ideal for someone who has a sense of urgency with superb attention to detail, is highly organized, a quick learner,  great communicator, can juggle multiple projects, provide solutions and work in a fast paced environment.  This position will collaborate with internal departments and work daily with external consultants, but will report to the COO/CFO.


This position was created to support and liaise a special project that is contracted April 1, 2023-March 31, 2024. This is a temporary role, with the possibility to be extended. This is a full-time, fully remote position that is eligible for benefits. Candidates must have the ability to work from their own home office.


RESPONSIBILITIES & DUTIES

Specific duties include, but may not be limited to:   

  • Executive-level Contractor support 

    • Calendaring of team meetings

    • Travel and hotel research, and reservations 

    • Taking meeting notes and action items

    • Daily upkeep of agendas and trackers for leadership

    • Anticipate operational needs and take initiative to problem solve or communicate with urgency 

  • Event administration

    • Monitor and address general event email inbox 

    • Manage the meeting platform including invite lists, on-demand library and event recordings

    • Responsible for all event shipping, supplies, and printing: ie: name badges, directional signage, attendee materials, etc. 

    • Support event wrap-up reports

    • Support of attendee communications


QUALIFICATIONS & SKILLS

  • Experience supporting others with calendaring, note taking, and other administrative support, executive assistant experience (especially C suite) preferred 

  • Experience with event logistics: beginning to end planning and execution, or individual component workstreams 

  • Advanced Google Suite experience (Mail, Calendar, Docs, Sheets, Slides, Groups)

  • Advanced Microsoft experience (Outlook, Word, Excel, Powerpoint and Teams)

  • Managing heavy complex calendars, cadences, team meetings, and planning cadences

  • Bachelor’s degree or equivalent practical experience

  • Excellent writing and proofing reading skills always producing error-free work 

  • Great communicator with ability to build strong relationships with both internal and external stakeholders

  • Demonstrated ability to prioritize leaders’ calendar with ability to make judgment calls and decisions based on rapidly shifting priorities

  • Experience working in a fast paced, often changing environment with efficiency and accuracy

  • Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight

  • Strong organizational skills with a strong attention to detail

  • Able to work pacific time hours and outside normal business hours as-needed due to monthly event schedule
