Accounts Payable Manager

This position is based in Washington DC.

This Role

The Accounts Payable Manager will provide support for the Accounting/Finance Team in the day-to-day operations and development of several large-scale data centers.  The Accounts Payable Manager will work with Property Management, Operations, Development and Accounting personnel. The Accounts Payable Manager will be responsible for supervising the day-to-day operations of the Accounts Payable team and is responsible for ensuring the timely recording and payment of invoices across multiple entities and bank accounts.  The candidate will be detailed oriented, able to manage and grow a team, and succeed in a fast-past environment.

Responsibilities

We will entrust you with specific responsibilities including:

- Lead and direct the work of the accounts payable team and serve as the contact person for all issues related to accounts payable

- Maintain the accounts payable system accurately and completely including complete maintenance of vendor files on an ongoing basis

- Conduct research and analysis on invoice payment issues

- Educate Yardi Payscan users on proper usage of the system and encourage timely approval of invoices and related documents

- Maintain accounts payable team policies & procedures and review work to ensure accuracy and compliance with defined policies

- Work closely with the Accounting team to support the annual audit

- Manage all aspects of performance and development of direct reports to encourage professional growth

- Ensure that invoices are properly coded to the correct entity and/or bank account

- Ensure monthly, quarterly, and annual recurring payments are completed in a timely manner

- Monitor and resolve all items over 30 days on the AP Aging report

- Forecast and analyze monthly cash requirements 

- Prepare all 1099 forms and review all related documents to ensure all items are accounted for and reported properly and timely

- Serve as first approver for all new vendors and vendor updates

- Compile and maintain a signature approval database

- Research, report, and file all unclaimed property

- Review processing and ensure routing of Purchase Orders and Purchase Order Amendments for approval

- Employ the AP/Payscan module to streamline AP processing including the use of purchase orders and service contract functions

- Maintain Certificates of Insurance (COI) within accounting database and ensure all Vendor and Tenant COI’s are current and in compliance with contractual requirements

- Ensure all contracts are current and in place and all payments to vendors are properly tracked on our billing schedule

- Ensure that the AP team meets all monthly reporting deadlines for draws and month end closes

- Responsible for the reviewing internal controls in the accounts payable/disbursement process

- Assist with other projects as needed

- Travel to sites, client meeting, trainings or conferences as requested and required

Minimum Qualifications

 

Education:  Bachelor’s Degree in business related field

 

Experience:  3-5 years of Accounts Payable experience with two years of management experience


Required Knowledge/Skills/Abilities: 

- Ability to train and motivate junior staff members

- Strong business Acumen

- Demonstrated professional verbal and written communication skills

- Real Estate industry experience preferred

- Expertise in core Microsoft office suite applications (e.g. Excel, Word, Outlook)

- Experience with Yardi or equivalent software highly preferred

- Strong sense of urgency to accomplish tasks on or ahead of schedule while still maintaining accuracy

- Exceptional organizational skills

- Exceptional attention to detail

- Ability to multi-task while managing changing priorities

- Assertive personality style needed to ensure that processes are completed and moving on to the next stage of completion

- Strong work ethic and self- motivation  

- Ability to work overtime as required

- Ability to maintain excellent relationships with vendors, tenants and other departments within the company

- Actively solicit feedback to ensure all responsibilities, activities and deliverables meet expectations

- Ability and willingness to respond to emails and phone calls after hours in the event of an emergency
