THE PURPOSE OF THE ACCOUNTING/AR SPECIALIST IS TO GENERATE INVOICES, REVIEW THEM FOR ACCURACY, AND SEND THEM TO CLIENTS. OTHER TASKS INCLUDE RECEIVING AND ENTERING CHECK PAYMENTS FROM CLIENTS, ASSISTING CLIENTS WITH BILLING QUESTIONS, WEEKLY COLLECTION EFFORTS, BACKUP TO ACCOUNTS PAYABLE AND OTHER ADMINISTRATIVE DUTIES TO SUPPORT THE ADMIN TEAM.

DUTIES AND RESPONSIBILITIES:
•Generate, review, and send invoices to clients
•Assist clients with billing questions
•Notify clients of past due invoices (collections)•Issue credit memos to clients
•Provide certificates of Insurance (COI) to clients upon request
•Client payment portal maintenance and support
•Credit references for clients•Receive and enter A/R payments (checks) into accounting system
•Enter prospects into company databases
•Document scanning, filing/file maintenance
•Mail distribution and outgoing mail
•Process expenses for billing to clients
•Help maintain client info in company database
•Backup Accounts Payable
•Other administrative duties as needed

QUALIFICATIONS AND REQUIREMENTS:
•College Degree preferred but not required
•Quick Books experience required
•Strong professional communication and interpersonal skills
•Must have a valid driver's license and access to a reliable motor vehicle with valid proof of insurance
•Ability to lift up to 40lbs
•Must be detailed oriented
•Reliable, prompt and willing to exceed client expectations
•Ability to manage multiple assignments and projects simultaneously and according to protocol
•Self-motivated with the ability to multi-task and adapt to change quickly in a fast paced environment
•Participation in industry events, as appropriate
•Ability to work independently and in a team environment
•Ability to multitask and track numerous tasks and client request and issues
•Possess unbiased problem solving
•Ability to ask the right questions in order to understand the client’s needs, urgency level, and to get the problem resolved quickly
