Summary:

 

The Producer is an integral part of the Production Department, and will have the opportunity to support multiple accounts within the agency at various stages of production. This role is responsible for managing program scopes of work, and will work with their internal and external vendor partners to ensure all aspects of the project lifecycle, from early concept through onsite execution, are delivered successfully.

 

Key responsibilities include spearheading the planning, coordination, and execution of their assigned projects (events / experiential programs), ensuring all creative, technical, and logistical elements are delivered on time and within budget. The position requires strong organizational and communication skills - as well as proficiencies in Google Suite and project managment software, where applicable.

Pre-Production:

  • Lead the development of program scopes of work (including change orders, where applicable), project staffing, overall timeline oversight, and the creation and management of budgets up to $500,000.

    • Internal production team support - coordinators, associate producers, and production managers, if required.

  • Oversee relevant vendor partnership selection, negotiation of contractual obligations, and management of their key deliverables.

    • Facilitate payments to vendors through accounts payable (vet for accuracy against quotes)

    • Review / approve internal and external expense reports

  • Work with cross functional partners (client experience, strategy, creative and agency operations) to ensure a smooth pre-production process from early conceptual development through preparation for onsite execution.

  • Supervise production staff / freelancers through the entirety of the project, proactively reviewing deliverables, as well as escalating potential issues that may adversely impact the timelines and budgets.

  • Review and vet out of scope requests and initiating additional estimates for review and approval within the agency (Executive Producer, Head of Department and Financial Operations) as well as keep all stakeholders informed of any key changes affecting final delivery or associated revenue.

  • Lead weekly client calls to review deliverables, timeline and budgets for ongoing projects.

  • Ensure compliance with all relevant regulations, permits, and licenses for events and activations.

  • Maintain a knowledge of, and stay up to date on the latest industry technology, trends and techniques.

  • Manage creative and technical event / experiential production that includes, but is not limited to:

    • Build production plans and schedules, shepherd creative direction, oversee junior production team members, and source and manage all production vendors and partners.

 Onsite Execution:

  • Prior to arrival onsite, run through and distribute all pre-production related documents (schedules, ROS, agendas, etc.) as well as any associated materials with the various production partners and cross functional teams to ensure preparedness.

  • Manage onsite event execution and logistics with supporting production personnel and third party vendors.

  • Determine any project risks throughout the delivery of the program and effectively problem solve any issues that may arise / course correct in a timely fashion.

  • Deliver a seamless production and extraordinary experiences for our attendees that in turn has our clients wanting to partner together for future programs.

  • Ensure all internal and external teams have loaded out successfully, and maintain documentation for close-out with regard to all goods / services procured.

 Post Production:

  • Responsible for project budget reconciliation, and overall cost reporting to Financial Operations department

  • Manage internal workflows to close out the project

  • Ensure revenue targets are met

  • Strategically partner with internal productions teams to build, maintain, and improve internal and external processes, workflows, systems, and policies based on lessons learned.

  • Final Show Files:

    • Organize and archive relevant project files and channels post-event.

    • Upload final show files (PPT / Keynote, scripts, videos, etc.) to XDA Google Drive.

  • Program Debrief:

    • Lead Production portion of internal and external account debriefs (ensuring we capture all feedback from production members, 3rd party vendors, and cross functional teams).

 Experience: 5 - 8 years in event production or related field
