JOB SUMMARY 

The Development Coordinator manages the daily operations and administrative functions of the Development department to support the team in raising more than $3M in contributed revenue annually. Reporting to the Development Director, the Coordinator is primarily responsible for gift processing, donor stewardship, donor acknowledgment and the daily management and maintenance of the donor database. The role is ideal for a detail-oriented, efficient, and self-driven professional who is looking to advance their career as part of a high-functioning fundraising team.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

·       Creates and maintains donor prospect profiles in the development database.  

·       Tracks and monitors donor and prospect movement to inform Development Director on next steps for follow-up and cultivation, where necessary. 

·       Maintains and organizes donor and campaign solicitation materials, working closely with the marketing and creative team when edits/designed assets are needed.    

·       Manages the donor database to maintain data integrity and quality, including performing routine audits of constituency records and donor groups; documenting cultivation activity, insights, donor interactions and solicitations; and identifying action steps.  

·       Works with Data Manager to develop queries, reports, and mailing lists for fundraising campaigns, stewardship, and appeals and ensures data is accurate before handing off to leadership.

·       Oversees and facilitates all gift processing, including database entry, coding, and allocations; preparing, sending, and collecting completed pledge forms; documenting pledge restrictions and/or preferences; communicating pledge details to necessary staff; managing donor invoicing, tracking, and reconciling all payments.  

·       Drafts, prepares, and distributes donor acknowledgment letters within a pre-determined turnaround.  

·       Manages pledge tracking, revenue reports, and expenses for all event fundraisers.  

·       Assists with fundraising event preparations by managing guest lists, sending event mailings, answering guest inquiries, and registering guests at the event.

·       Works with Development Manager to update donor email lists in Mailchimp, as needed.

·       Compiles regular reports of fundraising campaign performance and results.  

·       Prepares and sends weekly reports to accounting, development, and executive-level staff on fundraising progress and pledge/payment updates to keep key decision-makers informed.  

·       Manages all preparation and logistics for Board meetings, including scheduling and communications, drafting the agenda, and organizing all supplementary materials for timely distribution to the Board. 

·       Records notes and/or minutes at all Board and subsidiary committee meetings.  

·       Supports the department in organizing all folders, files, and documentation on the server, ensuring proper naming conventions and intuitive filing. 

·       Manages both internal and external department meeting logistics including scheduling, participant correspondence, drafting the agenda and documenting meeting discussion points and resulting action items. 

·       Additional duties as required.  

 

QUALIFICATIONS AND CAPABILITIES  

·       Bachelor’s degree required. 

·       2+ years' work experience within a development department preferred.  

·       Proficiency with CRM systems; Blackbaud Altru CRM experience, a plus. 

·       Proficiency in Microsoft Office and other standard office software, systems, and collaboration tools. 

·       Excellent level of detail and follow-through.  

·       Excellent time management skills with the ability to manage multiple projects simultaneously and prioritize tasks.

·       Ability to perform duties under pressure with a positive attitude.   

·       Great interpersonal skills and ability to represent the organization and work collaboratively with diverse staff, volunteers, vendors, board members, and the public.

PHYSICAL REQUIREMENTS 

The person in this position must be able to: 

·       Move about inside the office to access file cabinets, office machinery, storage shelves, etc. 

·       Lift up to 20 lbs. 

·       Communicate via telephone, video conference, email, and in-person. 

·       Stand for sustained periods of time during special events and fundraisers; accommodation can be made when necessary. 

 

COMPENSATION & BENEFITS 

·       Hourly rate of $27-$31 depending on experience.

SCHEDULE 

The Development Coordinator is a full-time, non-exempt position with a typical schedule of business hours, Monday - Friday, with some evenings and weekends, as needed, however schedule may vary. Candidates will be expected to work in-office, unless otherwise instructed.
