Position Overview:
The Grants Coordinator oversees and tracks grant deliverables and reporting for government and private grants across the organization. They support the organization’s fundraising and program sustainability by coordinating and managing the full lifecycle of grant activities. They collaborate closely with Assistant Directors and program coordinators across the organization to gather deliverables data and ensure timely submission of reports. The Grants Coordinator maintains access to grant portals and act as a point of contact for program officers. They are responsible for coordination of data submission across departments and maintain consistent communication with key personnel according to each grant, ensuring compliance with grantor requirements.
Core Responsibilities

Grant Administration – 40%

Gather and organize all necessary reporting data for each grant from Assistant Directors

Prepare and submit timely and accurate reports to funders, including progress updates, financial reports, and evaluation outcomes.

Maintain detailed records of grant activities, correspondence, and documentation for audit purposes.

Track grant awards, deliverables, deadlines, and reporting requirements

Manage and consistently update grant tracking tool

Develop a reporting calendar and manage internal communication across departments ensuring reminders and due dates for implicated staff

Monitor and track compliance for all grant requirements, reporting risks for timely interventions by supervisory staff

Monitor and track grant-funded activities to ensure alignment with the stated objectives and deliverables.

Grant Reporting, Writing & Evaluation 30%

Prepare interim and final reports, including narrative summaries, program metrics, and financial data for timely review

Submit grant reports in a timely manner through various portals and other reporting channels of communication

Collaborate with the grants team to draft, edit, and submit high-quality grant proposals, LOIs, narratives, budgets, and supporting documents

Prepare weekly, monthly and quarterly reports on grant deliverable status for direct supervisor, department director and senior executives.

Participate in planning and evaluation activities to inform strong proposal content

Development & Stewardship 20%

Assist in communicating impact to funders through updates, thank-you letters, and donor stewardship materials.

Research and assess funding opportunities for mission alignment and organizational capacity

Serve as a liaison between development, programs, and finance teams.

Develop and consistently update boiler plate bank of program narratives, testimonials, and visual/graphic assets of program activities

Build on, develop and improve grant management systems, protocols and workflows

Baseline - 10%

Participate in all required staff meetings and events.

Maintain up-to-date calendar and work plan.

Utilize – agency-wide systems and protocols for all agency business.

Offer at least 24 hours' notice for internal meeting cancellations/rescheduling.

Maintain Chain of Support for internal communications.

Required Qualifications
Education and Experience
-
3 years or more experience in grant management, compliance and/or administration
-
3+ years Experience in fundraising, grant writing, program coordination, or related fields (volunteer or paid)

2+ years experience managing or coordinating multi year grants
-
2+ years experience grant budgeting for $1M+ grants

Prior experience managing government grants
-
Working knowledge of nonprofit budgeting and financial management practices

Strong writing, editing, and research skills.

Excellent attention to detail and organizational skills.

Ability to manage multiple deadlines and projects simultaneously.

Proficiency with Microsoft Office, Google Workspace, or similar tools.
Preferred Qualifications
-
Bachelor’s degree, with preference in social work, nonprofit management, public health, or a related field.

2+ years experience working in a health care related nonprofit organization

Prior experience managing CDC grants
-
Prior experience in the ASO sector
-
Demonstrated prior experience in developing and improving grant management systems, protocols and workflows
